Description: 

This is a job description for temporary assistance for the HR team. Overall, there will be specific assigned duties, as well as ad-hoc assignments provided. Below is the job description for a full-time role, but priorities will be determined daily and weekly, since so much of the HR team's work is based on demand. This temp role will last until August 2026.

Reporting directly to the Associate Director of Human Resources, with a dotted line report to the Human Resources Associate & Learning and Development Lead, the Temporary Human Resources Administrator is directly responsible for daily administrative and HR duties for the Human Resources office at the Juilliard school. The incumbent assists with onboarding, record maintenance, and provides administrative and high-level customer service support to all employees. 

The Temp HR Administrator embodies a warm presence, a mindset of learning, and a sincere joy of helping the HR team and Juilliard employees. This role will focus on the proactivity and follow-through with responsibilities including, but not limited to: completion of wage forms, I-9s, credit card reconciliation, paying invoices, budget tracking, data entry in Cadence system, processing employee payroll changes (transfers, rehires, corrections) in ADP, and other related administrative tasks. 

The rate for this role is $23.00-$25.00 per hour.

Role Responsibilities:

Customer Service

  • First point of contact assistance with walk-ins to the office and calls on HR extension
  • Maintain an engaging and welcoming office environment with professionalism

Onboarding/Hiring

  • Complete onboarding tasks for new employees including temporary employees, monitoring background checks, completion of section 2 of I9s as well as diligently following up with candidates on missing information; assisting new hires with their onboarding checklists
  • Moves new Overhires, Guests, Faculty Substitutes, Non-Student Accompanists, Hire Juilliard Performers, Mentors, & Apprentices through appropriate onboarding phases and ensuring completion of onboarding tasks 
  • Keep spreadsheets up-to-date continuously with appropriate onboarding information 

Cadence / HCM Tasks

  • Assisting employees with inquiries on timecard entries, PTO balances, entering time off, and any other self-service items 
  • Review/approve manager changes in Cadence 
  • Review/approve jury duty and bereavement entries
  • May support with Benefits inquiries and respond to Benefits tickets as needed

Support/Office Management

  • Job Postings in absence of HR Administrative Assistant 
  • Assists HR Associate and L&D Lead with the planning and execution of special events such as All Staff and Faculty meetings, Block Party, and other HR-led community-wide events 
    • Set-Up, Maintenance, & Breakdown of events 
    • Support leading up to events, which may include, but is not limited to: outside shopping for events 
  • Provides administrative support to the HR department, data entry in Cadence system
  • Completion of employment verification letters
  • Supports in responding to HR inbox inquiries
  • Updating employee files 
    • Offer letters
    • Resumes / cover letters
    • Discipline
    • Promotions
    • Other related documents, excluding benefits
  • Performs other related duties as assigned

Minimum Requirements:

  • A Bachelor's degree from an accredited institution of higher education
  • Minimum of 1-2 years' related experience 
  • Exhibits absolute discretion with highly sensitive and confidential HR and payroll information. 
  • Must be able to demonstrate excellent organizational, analytical, critical thinking, interpersonal, written and oral communication skills, with a keen eye and superior attention to detail and quality assurance.
  • Microsoft Office Suite skills: Word, Outlook, Excel, Power Point, etc.
  • Strong interpersonal and communication skills, ability to interact with a wide variety of people, and has a collaborative style that encourages teamwork and cooperation beyond the immediate team to the broader organization.
  • Must be able to independently identify priorities within multiple assignments in a high-volume, short-deadline environment, and be able to work with diplomacy and efficiency in such an environment.  
  • Understanding of the mission of The Juilliard School as well as the School's commitment to equity, diversity, inclusion, and belonging

 

Preferred Background:

  • HR, Hiring, Program Administration, or Payroll experience
  • Experience using specific Oracle Cloud HCM modules (e.g. Recruiting, Core HR, Time & Labor, Learning, Talent Management)
  • Ability to write and run report queries
