Job description


A contractor is seeking a Bids and Contracts Assistant whose primary responsibility is to assist the Bids and Contracts Manager with all aspects of the process. Work hours are Monday through Friday, from 8 a.m. to 5 p.m.
Job Responsibilities:
  • Quote material sales, process orders, send submittals when requested, and submit W-9's
  • Assist in tracking contract renewals, price increases, and updating due dates for Letters of Intent/Price Increase Requests
  • File and update Agency File Cards, order bonds, and update Job Chat
  • Coordinate the recording of bonds with County Clerk, pick-up bonds, and package for bonds for delivery
  • Monitor and check daily bid alert emails, track bid results/awards/bid tabs, and update Job Chat
  • Gather subcontracts from Contractors when a project has been scheduled and update the Contract Status spreadsheet
  • Track business license/registration/DOT Prequal renewal dates
  • Keep Experience Records updated with the most recent projects
  • Respond to all company communication within 24 hours either by phone calls, emails, text messages, etc.
  • Perform other administrative duties assigned

Job Requirements
Job Qualifications:
  • Must have a High School Diploma or GED
  • Must be tech-savvy, proficient in Word, Excel, Outlook, PowerPoint, cell phones, and tablets, and willing to learn the industry and company-specific software
  • Must have excellent oral and written communication, analytical, planning, and time management skills
  • Must be able to pay attention to detail, stay quality focused, and multi-task
  • Must have the ability to seamlessly switch tasks based on the urgency of certain business matters
  • Must have a professional, positive attitude and appearance aligned with company standards
