Introduction

We are looking for a Temporary Export Coordinator to join our Distribution International team in Madrid, Spain.

In this role, you will help ensure that Straumann Group products reach customers across international markets efficiently, reliably and in line with applicable requirements. You will coordinate global order and distribution activities for a dedicated portfolio, working across teams and with external logistics partners to maintain service and delivery performance.

Reporting to the Teamleader Distribution Development International, you will work in a dynamic, regulated environment where thoughtful prioritisation, attention to detail and effective collaboration make a direct difference to our customers.

Your Role

  • Manage export orders end to end, from release and shipment through to final delivery, including urgent orders, backorders and partial shipments.
  • Prepare and review export documentation, including invoices, packing lists, certificates of origin and documentation for shipments from our Basel headquarters and cross-trade transactions.
  • Help ensure shipments and documentation meet applicable customer, customs, regulatory, security and trade-compliance requirements.
  • Coordinate international outbound shipments to global markets, subsidiaries and distributors, working closely with freight forwarders and carriers on bookings, tracking, service performance and issue resolution.
  • Manage applicable airfreight and Known Consignor processes and requirements.
  • Monitor shipment progress and risks, prioritising time-critical issues and coordinating resolution or escalation with relevant stakeholders.
  • Coordinate customer returns and reverse-logistics activities.
  • Partner with colleagues across Customer Service, Supply Chain, Logistics, Trade Compliance, Finance, Quality, Regulatory and local markets.
  • Use digital platforms, applications and visibility tools to support efficient order and shipment execution.
  • Monitor logistics KPIs, identify recurring issues and contribute to process improvements and corrective actions.
  • Share knowledge across the team and take on evolving responsibilities as business needs change.

Your Profile

Must-have Qualifications

  • Relevant education or training in logistics, international trade, business, export operations or a related area, or equivalent practical experience.
  • Relevant professional experience in export operations, international shipping, order management or a comparable logistics role.
  • Practical experience with SAP R/3 or a comparable enterprise resource planning system; knowledge of SD and/or MM modules is beneficial.
  • Experience with international shipping and export documentation, including cross-trade transactions and/or transport management systems.
  • Good working knowledge of Microsoft Office, particularly Excel.
  • Excellent written and spoken English for working in an international environment.
  • Ability to organise and prioritise multiple activities effectively while maintaining accuracy in time-sensitive situations.

Nice to have:

  • Experience with export or freight-forwarding qualifications, Power BI, Excel Power Query/PivotTables, data analytics, automation, artificial intelligence or other digital supply-chain technologies would be valuable, but you do not need to bring experience in every one of these areas to apply.

The role may involve occasional business travel to our headquarters in Basel when required.
