Job description

Job Summary

Assists Membership Accountant with filing and organizing files and contacting members as a courtesy who are no more than 30 days past due on their membership accounts. Incorporate the Village Standards: People, Places and Programs everyone/every time/everywhere

Essential Functions

  • Attract and Retain members by consistently providing excellent customer service
  • Responsible for interacting with employees, members and guests in a manner aligned with the People, Places and Programs components of the Village Standards
  • Add new information to file records, and create new files as necessary.
  • Eliminate outdated or unnecessary materials, destroying them or transferring them to inactive storage according to file maintenance guidelines and/or legal requirements only as instructed by Membership Accountant.
  • Perform periodic inspections of materials or files in order to ensure correct placement, legibility, and proper condition.
  • Place materials into storage receptacles, such as file cabinets, boxes, bins, or drawers, according to classification and identification information.
  • Scan or read incoming materials in order to determine how and where they should be classified or filed.
  • Sort or classify information according to guidelines such as content, purpose, user criteria, or chronological, alphabetical, or numerical order.
  • Perform general office duties such as typing, operating office machines, and sorting mail.
  • Make courtesy phone calls to members who are 30 days past due to remind them to submit payment.
  • Maintain confidentiality regarding member information including their accounts, personal information, and any other potentially sensitive information as it pertains to the member.

Minimum Requirements

  • Proficiency in Microsoft Office Suites (Word and Excel) and Outlook
  • Ability to learn and navigate through CSI software
  • Excellent organization and interpersonal skills
  • Ability to effectively communicate verbally and written with members and coworkers
  • Customer service focused attitude
  • Obtain CPR certification within 30 days of hire through Company training

Physical Activity
This position requires some standing, walking, lifting, grasping, bending and kneeling for filing. Sitting for some periods of time. Substantial repetitive movements (motions) of the wrists, hands, and/or fingers. Expressing or exchanging ideas by means of the spoken word. Involved in activities where one must convey detailed or important spoken instructions to other workers accurately, loudly, or quickly. Perceiving the nature of sounds at normal speaking levels with or without correction. Requires the ability to receive detailed information through written and oral communication.

Physical Requirement
Sedentary work involving sitting some of the time. Walking and standing are required daily. Exerting up to 10 pounds of force occasionally to lift, carry, push, and pull or otherwise move objects. In addition, may involve physical movement which includes activities related to membership events and programs and periodically lift up to 25 pounds.

Visual Requirement
This position requires close visual acuity to perform activities such as: preparing and analyzing data and figures, transcribing, viewing computer monitors and extensive reading.
