Position Description
The Field Operations & Mobilization Administrator is responsible for coordinating and managing jobsite support services and temporary facilities required for successful project startup and ongoing operations. This position works closely with Project Managers, Superintendents, Foremen, utility providers, and vendors to ensure jobs are properly mobilized and maintained throughout the life of the project. Responsibilities include coordination of hotels, portable restrooms, dumpsters, water meters, utility accounts, job trailers, and other project support resources. This role supports efficient field operations while ensuring timely setup, cost control, and vendor management.
Essential Duties and Responsibilities
Jobsite Mobilization
    • Arrange delivery, setup, relocation, and removal of job trailers.
    • Coordinate utility activation for project sites, including water, power, internet (as necessary), and temporary services.
    • Ensure all required services are in place before field operations begin.
    • Maintain mobilization checklists and track project startup status.

Hotel & Lodging Coordination
    • Support and manage hotel accommodations for field personnel.
    • Negotiate rates and maintain relationships with hotel vendors.
    • Track room usage, extensions, cancellations, and billing.
    • Report policy violations to the appropriate level of management.

Portable Restroom Management
    • Coordinate delivery, servicing, relocation, and removal of portable toilets.
    • Monitor service schedules and address field requests.

Dumpster & Waste Management
    • Schedule dumpster deliveries, exchanges, and pickups.
    • Monitor usage and coordinate additional service as needed.
    • Work with field personnel to ensure timely waste removal and site cleanliness.

Water Meter & Utility Coordination
    • Coordinate reporting and servicing of water meters.
    • Establish and manage utility accounts for projects.
    • Track utility usage and invoices.
    • Serve as liaison with municipalities, utility companies, and project teams.

Administrative Duties
    • Maintain records of all jobsite support services and costs.
    • Process and reconcile invoices related to hotels, utilities, trailers, portable toilets, and dumpsters.
    • Track project expenses and provide reports to management.
    • Support project managers and superintendents with field logistics requests. Respond promptly to field requests and operational issues.

Position Requirements
    • 3+ years of administrative, construction support, dispatch, facilities, or project coordination experience preferred.
    • Strong organizational and multitasking skills.
    • Excellent communication and customer service abilities.
    • Proficient in Microsoft Outlook, Excel, Word, and project tracking systems.
    • Ability to work independently and prioritize multiple projects simultaneously.
