THE GIST:

Our client, a Bay Area based SaaS startup with global reach, seeks a top-notch Executive Assistant to support two senior executives. This is a highly visible, high-impact role for someone who thrives at the center of executive operations and brings structure, rigor, and forward-thinking execution to complex environments. This is a great opportunity to act as a strategic partner to leadership during a company's exciting upwards trajectory!



THE NITTY GRITTY:

  • Own complex calendar management for two senior executives, balancing priorities, tradeoffs, and focus time against business-critical goals
  • Prepare agendas, briefing materials, and decision-ready meeting packets; capture decisions, action items, owners, and deadlines
  • Manage executive communications and coordinate with internal and external stakeholders across Finance, Operations, and People
  • Translate executive priorities into structured plans with milestones, owners, dependencies, risks, and dashboards
  • Drive execution of cross-functional initiatives including planning cycles, reviews, offsites, and launches
  • Establish and refine operating systems such as meeting hygiene, documentation standards, and decision logs
  • Leverage automation and AI tools to streamline workflows while maintaining confidentiality and accuracy
  • Own operational execution for key People programs and events, treating each as a launch (planning, communications, logistics, measurement, retrospectives)
  • Support team events, offsites, onsite leadership visits, and executive visitors
  • Partner with Workplace and IT teams to ensure smooth onsite operations
  • Assist with other administrative functions and ad hoc projects, as needed




THE ESSENTIALS:

  • 5+ years of experience as an Executive Assistant
  • Experience supporting multiple senior executives at a tech startup highly preferred
  • Strong project and program management skills
  • Calm under pressure, highly organized, and confident setting priorities
  • Excellent written and verbal communication skills; clear, concise, and decision-oriented
  • High proficiency with Google Workspace and comfort building lightweight systems in tools like Asana, Jira, Notion, or Sheets
  • Demonstrated ability to use AI tools responsibly for summarization, drafting, meeting prep, and workflow optimization
  • Willingness to offer occasional flexibility outside standard hours for executive or board-related needs

  • Direct partnership with senior executives on meaningful, company-wide initiatives
  • Act as a valued & strategic partner to two senior executives!





LOCATION: San Francisco, CA (Onsite)




COMPENSATION: $130k to 155k base salary + equity + benefits (exact compensation will vary based on skills, experience, and expertise)
