General Statement of Duties
This nonexempt, non benefited temporary position provides technical, analytical, and administrative support to the Technology Services Program Manager. The Technology Services Program Assistant supports the evaluation and documentation of enterprise technology systems, assists with implementation and governance activities, and helps maintain the accuracy of data within the Districtโ€™s Computerized Maintenance Management System (CMMS). The role supports technology program management, asset management practices, and enterprise software lifecycle processes across the organization.

Supervision Received
Works under the direct supervision of the Technology Services Program Manager.

Primary Duties and Responsibilities
โ€ขย ย  ย Assist in coordinating with key personnel to collect information, document activities, and support the establishment of CMMS governance and asset management workflows.
โ€ขย ย  ย Collaborate with various department staff to support CMMS/Asset Management initiatives, including but not limited to inventory management, generating preventative maintenance schedules, and asset tagging.
โ€ขย ย  ย Help verify the accuracy and integrity of locations, assets, and parts data in the CMMS.
โ€ขย ย  ย Assist with monitoring system updates, modules, and user feedback to identify opportunities for improved utilization of the CMMS.
โ€ขย ย  ย Assist in documenting existing enterprise software processes and system lifecycles.
โ€ขย ย  ย Help prepare materials for software implementation planning, training, and communication with various departments.
โ€ขย ย  ย Assist in collecting data and generating Key Performance Indicators (KPIs) for enterprise systems.
โ€ขย ย  ย Prepare draft reports and/or meeting notes for review by the Technology Services Program Manager.
โ€ขย ย  ย Support inter-departmental communications and help maintain strong working partnerships with staff and external collaborators.
โ€ขย ย  ย Assist with basic audits of existing systems or workflows and document recommendations as directed.
โ€ขย ย  ย Assist with the administration of programs and activities that support the mission, vision, and values of the organization.
โ€ขย ย  ย Assist in training sessions and educational initiatives related to CMMS and technology systems.
โ€ขย ย  ย Attend technical and safety training meetings, courses, and seminars as required.
โ€ขย ย  ย Perform other duties as assigned that support Technology Services and organizational initiatives.

Knowledge, Skills & Abilities

โ€ขย ย  ย Ability to take initiative, think critically, and contribute to problem solving activities.
โ€ขย ย  ย Strong organizational skills with the ability to manage multiple tasks and deadlines.
โ€ขย ย  ย Basic understanding of software systems, data structures, and/or IT concepts preferred.
โ€ขย ย  ย Strong communication and interpersonal skills; ability to collaborate with diverse teams.
โ€ขย ย  ย Ability to analyze processes and clearly document workflows and procedures.
โ€ขย ย  ย Willingness to learn industry standards, best practices, and governance frameworks.
โ€ขย ย  ย Proficiency in Microsoft Office applications including Word, Excel, SharePoint, Copilot, Teams, and Outlook.
โ€ขย ย  ย Ability to follow verbal and written instructions, policies, and procedures.
โ€ขย ย  ย Ability to work independently under general direction.
โ€ขย ย  ย Basic familiarity with programming languages, cloud environments, or software development concepts is beneficial but not required.

Qualifications / Experience
โ€ขย ย  ย College degree preferred but not required in Project Management, Asset Management, Management Information Systems, Business, Data Analytics, or a related field.
โ€ขย ย  ย Experience supporting software systems, databases, asset management systems, or technology related administrative functions is beneficial.
โ€ขย ย  ย Equivalent combination of education, training, and relevant experience may be considered.
โ€ขย ย  ย Must have a valid driverโ€™s license and a Motor Vehicle Record that meets District standards.

Working Conditions / Physical Activities
โ€ขย ย  ย Typically scheduled Monday through Friday; hours up to 40 per week depending on operational needs.
โ€ขย ย  ย This position is classified as a temporary assignment and is established for a limited duration based on organizational needs, project/program requirements, available funding, or seasonal demand.
โ€ขย ย  ย Standard office environment with frequent computer use and periodic interruptions; however, work may be performed on construction sites where there may be exposure to dust, noise, traffic, and moving construction equipment, and/or at a water or wastewater treatment facility where noise, irritants, dust, dirt, bacteria, hazardous chemicals, air, materials, and fumes are present.
โ€ขย ย  ย Light physical effort involving lifting up to 20 pounds occasionally and/or up to 5 pounds frequently.
โ€ขย ย  ย Activities may require stooping, twisting, kneeling, bending, leaning, and reaching.
โ€ขย ย  ย Vision required for reading, data entry, and interpreting information; speech and hearing required for communication in person and by phone.
