Overview:

 

The Administrative Associate is responsible for supporting daily administrative operations, customer communications, scheduling activities, financial tracking support, and office administration functions. This role helps ensure timely service delivery, accurate documentation, effective communication, and operational efficiency across the organization. The Administrative Associate works closely with customers, technical resources, field personnel, and internal teams to support business objectives while maintaining a high level of professionalism and customer service.

A Day in the Life:

  • Coordinate scheduling activities to support operational efficiency.
  • Monitor resource schedules and assist with time entry tracking.
  • Serve as a point of contact for customers regarding service requests and related activities.
  • Maintain accurate records, documentation, administrative files, and reports.
  • Support communication and coordination between departments, customers, and field personnel.
  • Provide exceptional customer service through professional and timely communication.
  • Assist with bookkeeping, invoicing, billing, and financial tracking activities.
  • Prepare and maintain reports, spreadsheets, and operational documentation.
  • Utilize Microsoft Excel and other Microsoft 365 applications to support reporting and tracking requirements.
  • Support Accounts Payable and other administrative financial processes.
  • Identify opportunities for process improvements and workflow efficiencies.
  • Collaborate with team members to achieve business objectives and organizational goals.
  • Assist with special projects and additional administrative responsibilities as assigned

  • Strong organizational, scheduling, and time management skills.
  • Excellent written, verbal, and interpersonal communication skills.
  • Strong customer service and active listening abilities.
  • High proficiency with Microsoft Office and Microsoft 365 applications, including Outlook, SharePoint, PowerPoint, Word, and Excel.
