Position Overview:


As a Resource Specialist, you will report to the Senior Project Manager and play a critical role in supporting the successful delivery of projects by ensuring personnel resources are effectively planned, scheduled, tracked, and allocated across the organization. Working collaboratively with Project Management, Engineering, Design, Production, and other cross-functional teams, you will maintain accurate resource schedules, monitor utilization, support project documentation and reporting, and help balance workloads to meet project priorities, timelines, and business objectives. You will serve as a key liaison between project teams and leadership, providing visibility into resource availability, identifying potential scheduling conflicts, and helping optimize resource utilization while supporting efficient project execution. Success in this role requires exceptional organizational skills, attention to detail, analytical thinking, and strong communication, along with a commitment to continuous improvement.

Primary Responsibilities:


Resource Planning & Coordination

  • Develop and maintain resource allocation plans for staff to support project schedules
  • Update resource calendars and ensure accurate tracking in project management tools
  • Develop and maintain contractor assignments, quotes, scheduling, invoicing and budget tracking

Project Support

  • Prepare and maintain resource utilization reports for internal stakeholders
  • Monitor resource availability and flag potential shortages or scheduling conflicts to project leads and leadership


Tool & Process Support

  • Drive development of project management software improvements for resource scheduling and reporting

Collaboration

  • Work closely with engineering, design, and project team leads to confirm resource needs and adjust allocations as priorities shift

Monitoring & Reporting

  • Generate weekly resource status updates for project leads and leadership
  • Track resource usage and audit for accuracy and compliance with company standards
  • Track and report on travel dates and durations for all project staff

Risk & Change Support

  • Identify potential resource-related risks and escalate project leadership

Proposal & Contract Support

  • Work closely with leadership to review project proposals and contracts for accuracy and alignment with project scope and schedule

Continuous Improvement

  • Recommend enhancements to resource allocation workflows and contribute to process improvement initiatives
  • Contribute to the development of best practices for resource tracking and reporting and actively promote their implementation across projects


Core Requirements & Qualifications:


  • Experience working with management tools for scheduling, resource tracking, and reporting (Wrike and QuickBase knowledge strongly preferred)
  • Strong organizational and time-management skills with attention to detail
  • Passion for collaboration across multiple teams and departments
  • Proficiency in Microsoft Office Suite and Google Workspace
  • Advanced expertise in creating, leveraging and managing Excel spreadsheets in support of projects and teams
  • Familiarity with resource allocation/HR processes
  • Proven track record successfully managing concurrent projects with various phases
  • Lift and load equipment (25–50 lbs.) up to 4 feet high
