Job Description:
The Advancement Talent Assistant reports to the Associate Vice President (AVP) for Advancement Operations and Planning and is responsible for providing administrative support to the AVP and the Director of Advancement Talent (AT). The AT Assistant provides high-level administrative and operational support to the AT team, which leads recruiting, onboarding, and professional development and engagement for the 250 staff of the Office of University Advancement (UA). This role is essential to ensuring the smooth day-to-day functioning of the team and requires discretion, strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced, people-centered environment.
Key Responsibilities
Administrative Support

  • Manage complex scheduling for the AVP, Director, and the AT team
  • Pull monthly department query reports, maintain and organize team files and records, and provide other reports and briefings as requested
  • Handle communications & correspondence for the AT team, including monitoring and maintaining the Advancement Talent inbox and sending routine correspondence on behalf of the team
  • Track and reconcile departmental expenses

Recruiting & Onboarding Support

  • Schedule candidate interviews and maintain a tracking system for candidate moves management
  • Prepare and distribute interview materials, candidate communications, and preboarding communications
  • Support new hire onboarding including welcome communications, materials, and orientation scheduling

Professional Development & Employee Engagement Support

  • Maintain the Advancement Talent Comprehensive Calendar
  • Coordinate logistics for meetings, professional development programs, and UA-hosted internal events (room bookings, materials, catering, technology setup, etc.)
  • Support preparation of presentations, reports, and materials for leadership and staff-wide meetings
  • Help maintain internal communications, RSVP tracking, and materials for professional development programs
  • Manage the UA Employee Recognition Programs platform

The AT Assistant serves as a first point of contact for the team, fielding inquiries and directing them appropriately. They provide backup support for other administrative functions on the team as needed and are expected to handle sensitive and confidential information with professionalism and discretion.
Applications will be reviewed on a rolling basis. The salary range for this position is listed below, with the final salary based on various factors, including the candidate's qualifications, skills, competencies, experience, and internal equity considerations. 
Hiring Range: 26.32/hr to 32.88/hr. Pay rate commensurate with relevant experience.
