Position Summary:

The Sales and Accounting Administrator Intern plays a vital cross-functional role in supporting both the Sales and Accounting teams. This position ensures accuracy and integrity across cost estimating, quoting, billing, and reporting processes. The Administrator will be responsible for supporting the quoting process, performing detailed contract reviews by verifying pricing and sales terms, managing data logs and reports, and contributing to the overall financial performance of the division. This role is instrumental in driving cost competitiveness, customer satisfaction, and supporting the company's Continuous Improvement Program through accurate documentation, auditing, and analysis.

Essential Responsibilities:

  • Compile customer-supplied bid data, generate quotes, and support timely submission.
  • Perform contract reviews by comparing customer purchase orders with internal quotes and sales terms to ensure accuracy and compliance.
  • Conduct internal audits of 6S, sales, and accounting processes. Support external audits.
  • Generate and maintain customer profile masters, sales logs, quote logs, and associated reports.
  • Support timely and accurate billing and occasional payment collection.
  • Support continuous improvement efforts, including KPI tracking and cost-saving initiatives.
  • Maintain records and reports related to quoting, sales, and billing performance metrics.
  • Assist in cost and pricing analysis to identify areas for improvement.
  • Support the Sales Manager in submitting RFIs, proposals, early bid warnings, and risk registers in a professional and timely manner.
  • Prepare detailed cost estimates by analyzing proposals, requirements, labor, material, and time allocations.
  • Resolve pricing or cost discrepancies by gathering and analyzing relevant data.
  • Maintain a cost and profitability database with secure data entry and backups.
  • Generate special reports by analyzing trends and summarizing insights to support decision-making.

Position Requirements:

  • Associate's or Bachelor's degree in Business Administration, Accounting, Finance, or a related field preferred.
  • Strong ability to read and interpret documents such as work instructions, contracts, specifications, engineering drawings, and procedure manuals.
  • Demonstrated problem-solving skills and ability to interpret and act upon written, oral, or diagrammatic instructions in dynamic environments.
  • Must be proficient in Microsoft Office Suite, especially Excel (formulas, pivot tables), and Word.
  • Strong organizational skills, attention to detail, and ability to manage multiple priorities in high pace environment.
  • Effective verbal and written communication skills.
  • Knowledge of contract review, cost accounting, and MRP/ERP is a plus.
  • Prior experience in a manufacturing or industrial environment is preferred.
