Job description

Physician Coordinator - Job Posting Overview We are seeking a flexible, proactive, and detail-oriented Physician Coordinator to join our growing team. This role is part of a two-to-three person coordinator team supporting seven physicians and leadership. The selected candidate will primarily assist two physicians, along with the practice executive.

Key Responsibilities Manage and maintain physician calendars, meetings, and travel schedules.

Anticipate scheduling conflicts and coordinate effectively with physicians, staff, and external partners. Screen and prioritize calls, emails, and correspondence on behalf of physicians. Coordinate and prepare agendas, minutes, and documents for meetings.

Ensure credentialing, licensing, and compliance records are accurate and current. Maintain strict confidentiality of medical, financial, and organizational information. Provide support for physician projects, organizational memberships, and special events.

Serve as a liaison between physicians, staff, and outside contacts. Provide occasional after-hours support for physician scheduling calls, if needed. Qualifications High school diploma required; Bachelor's degree preferred.

5+ years of relevant administrative experience in healthcare, hospital, or private practice settings. Proficiency in Microsoft Office Suite; EMR experience strongly preferred. Strong interpersonal and communication skills, with ability to build trust and maintain professionalism.

Proven ability to prioritize, manage interruptions, and meet deadlines in a fast-paced environment. Demonstrated record of reliability, punctuality, and confidentiality. Schedule & Compensation Status: Non-exempt, approximately 80-90 hours per bi-weekly pay period.

Work Hours: 7:00 a.m. - 3:30 p.m., with a 30-minute lunch break. Occasional after-hours availability: Respond to urgent physician scheduling needs (infrequent)

Benefits (for employees working an average 40-hour work week) Competitive retirement plan. 7 paid holidays, 1 personal day, and 1 birthday day off per year. Vacation accrual: 80 hours annually up to the 3rd anniversary.

120 hours annually from the 3rd to 6th anniversary. 160 hours annually beginning the 6th anniversary. Approximately 85% of employee health insurance premiums covered (employee pays for dependents).

Professional Standards This role requires strict compliance with confidentiality, regulatory, and organizational standards. Team members must consistently demonstrate professionalism, sound judgment, and a commitment to service excellence.
