Job description

The Surgical Services Coordinator is responsible for managing and coordinating all clinical and surgical encounters for patients, including clinic appointments, referrals, authorizations, presurgical requirements, and surgery scheduling. Serving as the primary administrative contact, this role ensures that patients' needs are facilitated efficiently and accurately across the care team. The coordinator optimizes provider schedules through effective template management and collaborates closely with Medical Assistants to ensure patients are scheduled appropriately. This role works in partnership with Revenue Cycle Operations to obtain authorizations, provide copay and coinsurance notifications, and support collection processes. The Surgical Services Coordinator oversees all activities related to surgical scheduling-from preoperative orders through completion of the procedure to prevent gaps that could impact surgical timing and to ensure an exceptional, safe patient experience.

Essential Functions

  • Coordinate clinical appointments, referrals, and pre-visit activities to ensure patients are fully prepared for clinic and surgical encounters.ย 
  • Serve as the primary administrative contact for patients, addressing questions, providing updates, and facilitating communication with the care team.ย 
  • Manage the provider's clinic schedule, including template adjustments, cancellation management, and ensuring appropriate appointment types and lengths.ย 
  • Collaborate with Medical Assistants to ensure patients are scheduled properly for both clinic visits and surgical procedures.
  • Work closely with Revenue Cycle Operations to secure authorizations and provide patients with accurate co-pay/co-insurance information.
  • Coordinate all surgical services activities, including surgery scheduling, rescheduling, cancellation management, and ensuring continuity from pre-op through post-op.ย 
  • Complete and track all pre-operative orders, including labs, testing, imaging, and consults required prior to surgery or procedures.ย 
  • Monitor and maintain the provider's surgical schedule, assigning operating room blocks to maximize surgical volume and efficiency.
  • Ensure compliance with emergency clinical protocols and safety guidelines, supporting a safe and positive environment for all patients.ย 
  • Maintain accurate documentation in scheduling and clinical systems, facilitating clear communication across the surgical and clinical teams.

Qualifications

  • High School Diploma or GED
  • Minimum one (1) - two (2) years' experience in a clinical settingย 

Technical Knowledge, Skills, and Abilities

  • Knowledge of clinic and surgical scheduling workflows, authorization requirements, and operating room block utilization. Understanding of referrals, insurance processes, co-pays, co-insurance, and authorization procedures.ย 
  • Ability to serve as the primary liaison for patients, providing clear instructions, updates, and empathetic support throughout the surgical process.ย 
  • Ability to manage multiple schedules, orders, authorizations, and deadlines while maintaining accuracy and efficiency.ย 
  • Skilled in using electronic health records (EHRs), scheduling systems, tracking tools, and standard office software to manage documentation and workflows.ย 
  • Ability to identify scheduling conflicts, gaps in surgical planning, and barriers to timely completion of pre-operative requirements, and take appropriate corrective steps.
