Job description

General Purpose:

The Home Office Project Coordinator (PC) is responsible for tasks as assigned by the Controller and/or Project Manager. The Home Office PC shall participate in the continuous improvements efforts by recommending changes to policies and procedures that promote, innovation, projects and will be required to carry out the duties described herein as they relate to those assigned projects. Assists Operations Administration and Finance teams as needed.

Essential Duties and Responsibilities:

Project Start-up

  • Assists Sr. Field Administrator with the coordination of mobilization including procuring trailers, phones, office supplies, etc. in collaboration with the Project Manager.
  • Admin Submittals
  • Create milestone checklist and manage submittal requirements
  • Prepare Quality Control Plan
  • Assist in obtaining early construction submittals when needed.
  • Project Close-out
  • Archive/Store Files - Assist Field Staff in archiving all field files and scheduling pick-up for storage
  • Process final subcontractor payment applications
  • Process final certified payroll reports

Manage and maintain all executed Subcontracts, including processes with field PC's to include:

  • Tracking Sub-Tiers and Sub-Tiers SF1413
  • Tracking Sub suppliers and Pre-lim's
  • Tracking Sub and Tier CPR (see below)
  • Verify/monitor contract amounts and/or Change Orders
  • Manage billing periods in Procore, open and close
  • Manage Sub Requisition invites with PM in Procore
  • Assist PM with Subs' billing and progress
  • Work with Subs on final billing adjustments via schedule approved updates
  • Acquire PM approval on monthly Sub invoices
  • Forward approved invoices to Accounting for entry
  • Verify Tiers and Suppliers are current; Sub release received if requested
  • Follow up on missing compliance items weekly for timely payment
  • Update Sub Cover Sheets; verify compliance

Insurance

  • Reviews insurance documents and tracking logs from field and collects necessary approvals for exceptions when necessary.
  • Tracking/maintaining Sub and Tier insurance, including Viewpoint
  • Updates document tracking prior to subcontractor payments.

Clerical Responsibilities

Type and log all letters, memos, RFI's, etc. using SCI's approved forms, format and software programs. Assure that all correspondence is signed, logged and scanned on to the network drive and routed to the appropriate parties. Prepare weekly packages to be sent to SCI's corporate office. Setup, organize and maintain the field filing system and all contract job files.

Certified Payroll

  • Upload LCP with Wage Decision, add and maintain Subs and Tiers
  • Audit daily reports with CPR
  • Upload CPR onto Y/job/subcontractor
  • Mail or upload CPR to management weekly, per RFP requirements
  • Contact Subs for missing CPR
  • Update Sub Cover Sheets

Insurance and Contracts

  • Review insurance for compliance and send to corporate office for final review, approval, and maintenance of insurance and contract document logs.
  • Review with Superintendent upcoming subcontractor's records to ensure that their Subcontract Agreement, insurance certificates and other Government required forms are current and in compliance with the Contract before they are allowed to work on the job site. If not current or correct, notify the PM that the subcontractor is non-compliant; and contact the subcontractor by both phone and in writing notifying them of their non-compliance.

Billings

  • Assist the project Manager with the collection of Schedules of Value (SOV), requesting of subcontractor payment applications, and backup and supporting documentation.
  • Ensure CPR, insurance, contract documents, releases, etc. are up to date and in compliance and submit complete correct subcontractor and owner billing packages to the corporate office for payment processing.
