Job Title: Administrative Assistant
Department: Fort McMurray Service Center
Reports to: Service Center Operations Manager
Location: Fort McMurray, Alberta, Canada
Shift: 1st

Purpose of Position:

To assist the staff and customers of the Service Center.

Duties and Responsibilities:

  • Answers incoming calls and directing inquiries to the appropriate personnel.
  • Welcomes on-site visitors, determines nature of business and announces visitors to appropriate personnel.
  • Maintains current list of telephone directory and employee location list and reissues list periodically
  • Maintains hard copy and electronic filing systems
  • Maintains an adequate inventory of office supplies
  • Coordinates repair and maintenance of office equipment
  • Handles all incoming mail, stamps and distributes
  • Handles all outgoing mail, weekly expediting of documents via Purolator, ordering Purolator supplies
  • Assists both Customer Service and Service Department to enter purchase orders from customers
  • Provides redundancy to Customer Service for sales staff with inquiries/part lookup/pricing/quoting/SAP navigation
  • Post good receipts, scan ship lists to L drive, maintain filing system for hard copies
  • Assists both Customer Service and Service Department in Expediting of orders
  • Assists both Customer Service and Service Department in creating and issuing quotes for customers
  • Assists both Customer Service and Service Department Respond to customer inquiries regarding ETAs and follow up with order statuses
  • Other duties as assigned by the manager

Education and Experience:

  • High School Diploma or GED

Knowledge and Experience:

  • 1 to 3 years of experience in a service center or manufacturing environment
  • Proficient with Microsoft Office and SAP with emphasis on excel and word
  • Experience in dealing with the public in person and over the phone
  • Ability to communicate clearly in English
