Student Records Clerk
Make a Difference Every Day
Are you organized, detail-oriented, and passionate about helping others succeed? Join Distinction, LLC as a Student Records Specialist, where your work plays a vital role in supporting students as they build brighter futures through Job Corps.
In this role, you'll ensure student records are accurate, secure, and compliant while supporting the daily operations that help students thrive from enrollment through graduation.
What You'll Do
As our Student Records Clerk, you will:
Maintain Student Records
  • Process enrollment, separation, travel, accountability, and clothing allowance documentation.
  • Maintain complete, accurate, and confidential student files.
Manage Data & Systems
  • Utilize OASIS, CIS, Microsoft Office Suite, Outlook, and other electronic systems.
  • Enter, verify, and update student information with a high level of accuracy.
Ensure Compliance
  • Audit student records for accuracy and data integrity.
  • Identify discrepancies and make corrections as needed.
  • Maintain audit logs and compliance documentation.
Prepare Reports
  • Generate and distribute scheduled CIS reports.
  • Assist departments by providing timely and accurate student information.
Coordinate Student Services
  • Arrange student travel and ensure transportation documentation is complete.
  • Track accountability for travel documents and related records.
Support Student Payroll
  • Process documentation for student pay, allotments, and separations.
  • Coordinate with the Finance Department to ensure timely processing.
Maintain Organized Records
  • File, update, proofread, and maintain active and separated student records.
  • Organize documentation according to federal and organizational standards.

Qualifications
High School Diploma or High School Equivalency required
At least one (1) year of administrative or clerical experience
Experience working with youth is preferred
Strong written and verbal communication skills
Proficient in Microsoft Office and computer-based recordkeeping systems
Excellent organizational and multitasking abilities
Ability to lift up to 20 pounds
Valid driver's license with an acceptable driving record (unless waived by management)
