Job description

Functional And Administrative Support Specialist

ASI is seeking a Functional and Administrative Support Specialist to support senior-level defense engagements, planning activities, and multi-stakeholder coordination in an enterprise Integrated Air and Missile Defense (IAMD) environment.

This role is ideal for a detail-oriented professional with experience supporting headquarters-level operations, senior leader engagements, complex meetings, classified administrative processes, and coordination across Services, Combatant Commands, agencies, and other defense stakeholders.

Key Responsibilities

  • Provide functional and administrative support for senior-level defense meetings, engagements, briefings, and planning activities.
  • Coordinate schedules, meeting logistics, read-ahead materials, briefings, and follow-up actions.
  • Support preparation and tracking of staff packages, correspondence, taskers, and executive-level products.
  • Assist with coordination across Services, Combatant Commands, agencies, and headquarters stakeholders.
  • Maintain accurate files, records, action trackers, and administrative documentation.
  • Support classified and unclassified meeting execution, including attendee coordination, access requirements, and room logistics.
  • Assist technical and analytical teams with formatting, routing, and quality control of deliverables.
  • Support travel coordination, trip reports, meeting summaries, and recurring status reporting as required.

Basic Qualifications

  • Bachelor's degree.
  • 5+ years of experience supporting Joint Staff, OSD, Service Headquarters, Combatant Command Headquarters, or comparable senior defense organizations.
  • Experience supporting senior leader engagements, staff actions, briefings, and multi-organization coordination.
  • Strong proficiency with Microsoft Office tools, including:
    • Word
    • PowerPoint
    • Excel
    • Outlook
  • Strong organizational, communication, and task-tracking skills.
  • Ability to work in a fast-paced, classified defense environment.
  • Active TS//SCI clearance required; SAP eligibility required.
