Operations Support Specialist

Location: Westfield, IN (On-Site)

Pay: $22.00 per hour

Schedule: Full-Time, Monday-Friday

We have been asked by a client in Westfield, IN to help them find an Operations Support Specialist. In this role you will support Project Managers by coordinating crew dispatch activities, maintaining work orders, reconciling employee time entries, and ensuring the accuracy of operational data within the company's ERP system. You will play a key role in supporting scheduling, job costing, payroll accuracy, and overall operational efficiency in a fast-paced commercial landscaping environment.

What will you do as an Operations Support Specialist?

  • Set up and maintain work orders within the ERP system, ensuring accurate service details, schedules, and crew assignments
  • Support Project Managers with daily crew dispatch coordination and scheduling updates
  • Update schedules and assignments as field conditions and operational priorities change
  • Review and reconcile crew time entries on a daily basis
  • Identify and resolve missing punches, incorrect labor coding, and misallocated hours
  • Ensure labor hours are accurately assigned to the correct jobs and work orders
  • Help maintain accurate job costing and payroll data
  • Communicate with Project Managers and field supervisors to quickly resolve discrepancies
  • Monitor data quality and identify recurring process or system issues
  • Report process gaps and operational concerns to leadership
  • Assist with reporting and other administrative support tasks as needed

What qualifications will you have as an Operations Support Specialist?

  • Experience working with ERP, scheduling, dispatch, workforce management, or similar business systems preferred
  • Ability to learn new software and systems quickly
  • Strong attention to detail with the ability to identify and resolve discrepancies
  • Proficiency with Microsoft Excel and general computer applications
  • Excellent organizational and time management skills
  • Strong verbal and written communication skills
  • Ability to work effectively with Project Managers, field supervisors, and office personnel
  • Comfortable working in a fast-paced environment with changing priorities
  • Experience in landscaping, construction, field services, or a similar operations environment is a plus
  • High school diploma or equivalent required
