The Strategic Operations Assistant provides essential administrative, operational, and project support to the Strategic Operations team within the Career Development department. This role helps coordinate departmental processes, organize workflow systems, track data, and assist with cross-team communication to ensure efficient and effective day-to-day operations.
Working under the direction of the Strategic Operations & Project Development Manager and Strategic Operations Specialists, the Strategic Operations Assistant supports departmental initiatives that contribute to accreditation reporting, employment verification efforts, and continuous process improvement across all Career Development divisions.
Essential Duties and Responsibilities:

  • Behave as a Full Sail University ambassador and embrace our unique educational model, while maintaining the highest level of integrity, professionalism, customer service, and compliance.
  • Provide administrative and logistical support for projects across Career Development divisions, ensuring accurate documentation and timely follow-through.
  • Assist with gathering, organizing, and maintaining statistics needed for annual accreditation reporting and other university requirements.
  • Support the creation and maintenance of standard operating procedures, process documentation, and workflow guides for departmental teams.
  • Coordinate with the Strategic Operations Manager & Specialists to maintain smooth communication, project transparency, and process alignment.
  • Complete tasks and outreach assignments to support project progress and meet deadlines, helping ensure deliverables remain on schedule.
  • Compile project updates to help Manager & Specialists generate insights for active departmental initiatives.
  • Support employment verification workflows by following established procedures, gathering required information, and conducting outreach to students and graduates.
  • Process and prepare employment information gathered from surveys, call campaigns, advising-driven projects, and audit-cycle initiatives.
  • Review, organize, and update student and graduate profiles based on departmental workflows and outreach outcomes.
  • Conduct and document employment research using LinkedIn, social platforms, portfolio sites, and company websites.
  • Use phone calls, texting, email, social media messaging, and DocuSign when appropriate for outreach.
  • Maintain confidentiality and uphold data integrity across all workflows.
Other Responsibilities:
  • Attend departmental meetings and provide updates upon request.
  • Maintain organized digital files, process documents, and operational resources.
  • Assist in coordinating communication across teams to streamline workflows and ensure consistency.
  • Participate in ongoing process evaluations, offering feedback for continuous improvement.
  • Maintain accurate data and tracking across Salesforce, SharePoint/Excel, and internal systems.
  • Ability to work flexible hours, including nights and weekends, as assigned.
  • Adheres to the policies and procedures of Full Sail University
  • Maintains strict confidentiality of company and personnel information
  • Demonstrates a strong commitment to the mission and values of the organization

Computer Skills:
  • Proficiency in Microsoft Office Suite and common web-based tools.
  • Ability to learn and navigate CRM systems (Salesforce, Simplicity) with training.
  • Familiarity with both Apple and Windows operating systems.

Environmental Factors/Physical Demands:
Work is performed in a professional office environment. The employee must be able to maintain communication with staff, access and enter information into computer systems, and occasionally perform physical tasks such as bending, reaching, stooping, or lifting up to thirty (30) pounds.
