Job description

MAJOR FUNCTIONS
Under the direction of the Human Resources Department, the Human Resources Assistant (AmeriCorps VISTA) will support capacity-building efforts focused on developing and sustaining a structured internship program across multiple departments. The VISTA member will assist with designing processes, tools, and partnerships that expand economic and professional opportunities for young adults in the Trenton community.
This role supports workforce development initiatives by helping standardize intern recruitment, onboarding, tracking, and evaluation processes while strengthening partnerships with local educational institutions.
ESSENTIAL FUNCTIONS
  • Collaborate with HR staff and department leaders to identify internship opportunities aligned with organizational needs and strategic goals.
  • Assist in reviewing and organizing current HR onboarding materials to support the development of an intern-specific onboarding process and Standard Operating Procedures (SOPs).
  • Support the creation and distribution of surveys or tools used to assess departmental internship capacity.
  • Compile and organize internship program documentation, including position descriptions, learning objectives, and evaluation templates.
  • Assist in drafting and organizing Memorandums of Understanding (MOUs) with educational institutions, including The College of New Jersey and Mercer County Community College.
  • Track internship placements and maintain organized digital records to support program evaluation and reporting.
  • Support outreach materials for intern recruitment.
  • Support scheduling and coordination of intern orientations, check-ins, and program-related meetings.
  • Assist with collecting feedback from interns and supervisors to help evaluate program effectiveness and identify improvement opportunities.
  • Maintain confidentiality of employee and intern-related information.
  • Cultivate professional working relationships with staff and community partners.
  • Support additional HR operational or administrative needs as assigned.

ADDITIONAL RESPONSIBILITIES
  • Participate in HR and organizational meetings related to workforce development and internship program implementation.
  • Participate in training and engagement activities associated with the organization's VISTA program.
  • Assist with documentation and process improvement efforts that support long-term sustainability of the internship program.

Requirements
EDUCATION & EXPERIENCE
  • High School Diploma/GED
  • Associate or Bachelor's degree in Human Resources, Business Administration, Public Administration, or a related field preferred, or equivalent experience.

Knowledge, Skills, Abilities, and Other (KSAOs):
  • Excellent organizational and communication skills.
  • Ability to work collaboratively in a team setting and facilitate training and engagement activities with diverse groups.
  • Demonstrated problem-solving skills.
  • Analytical skills to assess needs, barriers, opportunities and trends.
  • Proficiency in Microsoft Office Suite.
  • Professional conduct and demeanor with patients and colleagues.
  • Ability to work independently and manage multiple tasks with attention to detail.
  • Bilingual (Preferred)

BENEFITS
Program Benefits: This is an unpaid position. Participants receive a living allowance, and upon successful completion of service, they have the option to choose between an Education Award or an End of Service Stipend. Additional benefits include training, health coverage*, childcare assistance if eligible, and a relocation allowance.
