Position Summary
The Wellness Concierge serves as the primary point of contact and hospitality ambassador for the Sports Club. This position is responsible for delivering exceptional member and guest experiences through personalized service, efficient scheduling, billing, wellness program coordination, and concierge support.
The Wellness Concierge ensures every member and guest feels welcomed, valued, and supported while maintaining the luxury service standards expected at Ponte Vedra Inn & Club. This role assists with wellness programming, fitness services, recovery offerings, retail sales, and member engagement initiatives while serving as a key communication link between members and the Sports Club team.
Education
High School Diploma or equivalent required. Ability to speak, read, write, and comprehend the English language at a level sufficient to communicate effectively with members, guests, and colleagues. Associate's degree in Hospitality, Recreation, Business Administration, Wellness, Fitness Management, or a related field preferred.
Training & Experience
  • Minimum two (2) years of experience in concierge services, front desk operations, hospitality, wellness, spa, fitness club, or luxury resort environments preferred.
  • Experience with scheduling, booking systems, point-of-sale systems, billing, and guest service operations preferred.
  • Experience in luxury hospitality, private clubs, wellness centers, or fitness facilities preferred.
  • CPR/AED certification preferred or must be obtained within thirty (30) days of hire.

Job Knowledge
  • Strong customer service and hospitality skills with a passion for member engagement.
  • Knowledge of fitness, wellness, recovery, and recreational services preferred.
  • Proficiency with scheduling, reservation, billing, and point-of-sale systems.
  • Ability to effectively multitask and prioritize responsibilities in a fast-paced environment.
  • Working knowledge of Microsoft Office and club management software systems.
  • Strong communication, organizational, problem-solving, and interpersonal skills.
  • Technogym platform experience preferred.

Essential Duties & Responsibilities
  1. Maintain professional appearance, grooming, and personal hygiene standards.
  2. Greet members and guests warmly while delivering exceptional hospitality and personalized service.
  3. Manage member and guest check-in procedures efficiently and accurately.
  4. Schedule and coordinate group fitness classes, personal training sessions, Pilates appointments, wellness consultations, recovery services, and special programs.
  5. Coordinate PNOĒ metabolic testing appointments and assist with member preparation and follow-up scheduling.
  6. Process billing transactions, retail purchases, membership charges, and service payments accurately.
  7. Provide facility tours and educate members on Sports Club amenities, programs, and wellness services.
  8. Assist members in selecting wellness programs, services, and offerings that support their goals.
  9. Maintain continuous coverage of the concierge desk during operating hours.
  10. Coordinate member flow and communicate operational needs with Sports Club Supervisors, Attendants, Trainers, and Instructors.
  11. Respond to member questions, concerns, and service requests in a professional and timely manner.
  12. Escalate concerns appropriately to Sports Club leadership when necessary.
  13. Promote retail merchandise and wellness-related products to enhance the member experience.
  14. Assist with member onboarding and support wellness engagement initiatives.
  15. Maintain accurate attendance, revenue, scheduling, and member usage records.
  16. Support departmental events, wellness programs, special activities, and member engagement initiatives.
  17. Ensure the concierge area remains clean, organized, and welcoming at all times.
  18. Attend departmental meetings, training sessions, and safety meetings as required.
  19. Follow all company policies, procedures, and departmental operating standards.
  20. Execute responsibilities that support Forbes Five-Star, AAA Five-Diamond, and luxury hospitality service standards.
  21. Perform additional duties as assigned by the Sports Club Manager or Executive Director of Wellness.

Physical Requirements
  • Ability to stand, walk, and remain active for extended periods.
  • Ability to move throughout the Sports Club and wellness facilities.
  • Ability to lift and carry up to 25 pounds.
  • Ability to work a flexible schedule including early mornings, evenings, weekends, and holidays.
  • Ability to operate computer systems, point-of-sale systems, and office equipment.
