Job description

Position Summary

We are seeking a detail-oriented and organized Bilingual Spanish Accounting Administrative Specialist to support our Accounting and Payroll departments. This position plays a key role in processing accounts payable, assisting with payroll for employees in two states, maintaining accurate records, and providing administrative support. The ideal candidate is a proactive problem solver with excellent organizational skills, strong attention to detail, and the ability to communicate effectively in both English and Spanish.

Key Responsibilities

  • Assist with the Accounts Payable process, including invoice entry, coding, matching, and payment processing.
  • Support payroll processing for employees in two states by accurately entering payroll information and verifying time records.
  • Research and resolve payroll, invoice, and vendor discrepancies.
  • Maintain accurate employee, vendor, and financial records.
  • Perform data entry with a high degree of accuracy and confidentiality.
  • Prepare reports and spreadsheets using Microsoft Excel.
  • Assist with account reconciliations and other accounting functions as assigned.
  • Communicate professionally with employees, vendors, and internal departments in both English and Spanish.
  • Maintain organized electronic and paper filing systems.
  • Provide general administrative support to the Accounting department.
  • Assist with special projects and other duties as assigned.

Qualifications

  • Bilingual in English and Spanish (spoken and written).
  • Minimum of 3 years of administrative experience, preferably in an accounting or payroll environment.
  • Experience supporting Accounts Payable and payroll functions.
  • Strong attention to detail and commitment to accuracy.
  • Excellent analytical and problem-solving skills with the ability to research and resolve issues independently.
  • Ability to handle confidential information with discretion.
  • Strong organizational and time management skills with the ability to prioritize multiple tasks.
  • Proficient in Microsoft Excel and Microsoft Office applications.
  • Experience using Viewpoint software is a plus
  • Excellent written and verbal communication skills.
  • Dependable, self-motivated, and able to work both independently and collaboratively.

Preferred Qualifications

  • Experience processing payroll in a multi-state environment.
  • Construction or project-based accounting experience is a plus.
  • Knowledge of payroll regulations and accounts payable best practices.

Physical Requirements

  • Ability to sit and work at a computer for extended periods.
  • Ability to occasionally lift office materials weighing up to 20 pounds.
