Job description

ION Solar is a rapidly expanding, full-service residential solar company with a strong nationwide presence. Our dedicated team is committed to making solar energy accessible and affordable for homeowners across the country.

Special Services Coordinator contributes to Ion Solar by overseeing and coordinating third-party work required for solar installations, including re-roofs, trenching, electrical upgrades, and other specialty services. A major focus of this role is managing direct coordination with utilities, AHJs (Authorities Having Jurisdiction), roofers, and contractors. You will act as the primary link between customers, sales representatives, contractors, and internal teams-ensuring projects move forward on time, on budget, and in compliance with all codes and requirements.

Duties/Responsibilities:

  • Manage assigned projects from assignment through completion, including electrical upgrades, re-roofs, trenching, and specialty contractor work.
  • Coordinate with utilities, AHJs, roofers, electricians, and contractors to schedule and execute work.
  • Work closely with internal scheduling teams and field employees to align timelines, resolve conflicts, and minimize delays.
  • Provide proactive communication to customers and sales representatives, keeping all parties informed of project status and requirements.
  • Ensure inspections are scheduled, passed, and documented for both electrical and roofing scopes as well as other specialty work.
  • Verify completion photos, material usage, and project requirements before closeout.
  • Submit payment requests for contractors after confirming project completion.
  • Troubleshoot issues quickly, ensuring compliance with building codes, permit requirements, and safety standards.
  • Support continuous improvement of department processes, especially around re-roofing and electrical coordination under ION Home Services.

Required Skills/Abilities:

  • Preferableproject management or coordination experience (solar, construction, electrical, or roofing industry strongly preferred).
  • Familiarity with utility requirements, permitting processes, and AHJ coordination.
  • Excellent communication skills with the ability to manage relationships between customers, sales, contractors, and regulatory authorities.
  • Problem-solving mindset with a focus on compliance, quality, and customer satisfaction.
  • Proficiency in project management tools, CRM platforms, or scheduling software (Salesforce experience a plus).
  • Strong organizational and multitasking skills, with the ability to manage multiple projects simultaneously.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Proficient with Microsoft Office Suite or related software.
  • Ability to develop solutions to difficult problems
  • Ability to type at least 45 words per minute.

Education and Experience:

  • A high school diploma or equivalent is required
  • Customer service experience required
  • Solar experience preferred

Working Conditions:
Fast-paced, open floor office environment with significant computer and phone usage. Utilization of complex systems. Speed and accuracy are essential to the successful completion of tasks.
Prolonged periods sitting at a desk and working on a computer. Regular requirement to talk, or hear; frequent requirement to stand, walk, reach, bend or lift up to 20 pounds. The noise level in the work environment is typical of that of an office. May encounter interruptions throughout the work day.
