Job description

GENERAL SUMMARY:

This associate will report to the Construction Director of Planning, Design, and

Construction (PDC) but supporting the entire project management team. A Project Coordinator supports project delivery by keeping processes updated, documentation accurate, and communication flowing across teams. They prepare reports, track resource needs, and ensure tasks progress as expected.

The position is responsible for project coordination support to the project management team by initiating e-Builder processes and coordinating document control on complex capital project activities, ensuring operational efficiency across systems and stakeholders. This role manages high-level administrative functions such as initiating commitment requests, reviewing invoices for sworn statements and lien waivers, and managing the project closeout.

PRINCIPLE DUTIES AND RESPONSIBILITIES:

ย  Advanced Project and Financial Oversight - Leads the setup and financial administration of complex capital projects. Ensures accuracy in project funding, cost tracking, and financial coding across systems.

ย  Advanced Reporting and Data Analysis - Develops and delivers advanced reports and dashboards for project performance, budget forecasting, and executive decision-making. Analyzes trends and recommends process improvements.

ย  System Administration and Optimization - Oversees daily integration reviews between software applications, coordination with CPSS to resolve system errors, and performs monthly data scrubbing.

ย  Conducts project closeout reviews, ensures all commitments are finalized, and coordinates with Finance for project closure in appropriate software applications.

ย  Contract and Procurement Leadership - Initiates, reviews and coordinates task order, ensuring compliance with capital authorization policies. Leads communication with vendors and internal stakeholders.

ย  Special Projects and Strategic Initiatives - Leads or supports departmental special projects and initiatives as assigned by leadership, contributing to strategic planning and continuous improvement efforts.

ย  Mentorship and Training - Trains and mentors new Project Coordinators. Acts as a subject matter expert for software applications and departmental processes, supporting regional staff and vendor interactions.

ย  Compliance and Regulatory Leadership - Oversees compliance reporting processes, ensures timely submission of regulatory documents, and interfaces with permitting agencies as needed.

ย  Team and Operational Leadership - Assumes accountability for team deliverables, supports departmental goals, and may provide direction to other team members. Ensure operational efficiency and quality standards are met.

ย  Documentation & Risk - Maintain secure project documentation, track action items, and assist with risk management by identifying potential roadblocks and developing mitigation strategies.

ย  Stakeholder Collaboration - Act as a central communication hub, ensuring crossfunctional teams (e.g., architecture, interior design, IT, equipment planning, artwork, sustainability, real estate, capital project systems and sourcing (CPSS), and finance) align on objectives.

ย  Actively participates in safety initiatives and risk mitigating measures where appropriate and completes all position and unit safety related competencies and requirements on a timely basis.

ย  Provides general administrative support for projects.

ย  Performs other duties as assigned.

EDUCATION/EXPERIENCE REQUIRED:

ย ย ย ย ย ย  Bachelor's degree required, or 4 years of experience in accounting, project management or business management in lieu of degree.

ย ย ย ย ย ย  Four (4) years' relevant experience.

ย ย ย ย ย ย  Skills - Strong organizational skills, attention to detail, and proficiency with project management tools. Excellent verbal and written communication are required to navigate collaborative healthcare environments.

ย ย ย ย ย ย  Proficiency in Microsoft Suite (Office, Excel, PowerPoint, Project).

ย ย ย ย ย ย  Preferred experience in e-Builder and SharePoint.

ย ย ย ย ย ย  Knowledge of Bluebeam or other PDF markup software.

CERTIFICATIONS/LICENSURES REQUIRED:

Must meet or exceed core customer service responsibilities, standards and behaviors as outlined in the Henry Ford Health Customer Service Policy

Must practice the customer skills as provided through on-going training and in-services.

PHYSICAL DEMANDS/WORKING CONDITIONS:
