Job description

SALES COORDINATOR
Vital Energy is seeking a highly organized, customer-focused Sales Coordinator to support our residential and commercial solar, battery storage, generator and microgrid sales team. You will help keep processes moving, customers informed, sales records accurate, and sold projects ready for a smooth handoff to Project Management.
This is a strong fit for someone who enjoys bringing order to a fast-moving environment, communicates warmly and professionally, and takes pride in catching details before they become problems.
CORE RESPONSIBILITIES
  • Respond to incoming leads and complete initial customer intake and qualification.
  • Schedule consultations, site surveys, proposal reviews, and follow-up appointments.
  • Maintain accurate lead, activity, status, source, value, and next-step information in CRM, sales trackers and related systems.
  • Collect utility info, property details, financing documents, and other project information.
  • Coordinate proposal, estimate, revision, and electronic-signature requests.
  • Monitor overdue follow-up, missing documentation, inactive opportunities, and unsigned agreements.
  • Prepare sold-project files and verify required documents and data before handoff to project management and operations.
  • Support Energy Consultants with calendars, task lists, pipeline reviews, reports, templates, and approved sales resources.
  • Communicate clearly with customers without making unauthorized pricing, schedule, performance, financing, or incentive commitments.
  • Help improve sales processes, data accuracy, customer responsiveness, and cross-department coordination.

WHAT YOU BRING
  • At least two years of experience in sales coordination, customer service, project administration, office administration, or a related role.
  • Excellent organization, follow-through, written communication, and attention to detail.
  • Comfort managing multiple customers, deadlines, calendars, and priorities at the same time.
  • Experience with CRMs, scheduling, electronic-signature, project-management, Google Workspace, and solar design and proposal software.
  • Good judgment when handling confidential information and escalating issues.
  • A collaborative, accountable approach and willingness to learn technical products and processes.

STRONG PLUS
  • Solar, battery, generator, construction, electrical, home-improvement, financing, or technical-industry experience.
  • Experience with JobNimbus, SunBase, ProCore, SolarGraf, ETB, Helioscope, DocuSign, and/or Google Workspace.
  • Familiarity with residential and commercial sales processes.
