Position Summary:
KSM is seeking a Tax Resource Coordinator to support the day-to-day execution of workforce planning across our tax practice. This role is central to ensuring the right people are aligned to the right work at the right time. You will collaborate closely with engagement teams and operations leadership to manage scheduling, monitor capacity, and maintain accurate workload data.
Success in this role requires strong attention to detail, the ability to anticipate needs, and a proactive approach to solving scheduling challenges. You'll play a key role in helping our teams operate efficiently while supporting a high-quality client experience.
Responsibilities:
Workload Planning & Scheduling
  • Coordinate weekly workload planning updates for assigned tax teams, ensuring schedules reflect current priorities and deadlines
  • Maintain accurate data within scheduling systems, including staff assignments, project timelines, and changes in scope
  • Track and incorporate staff availability, including PTO, training schedules, and transitions
  • Continuously monitor workload distribution to support efficient utilization across teams

Staffing Coordination & Problem Solving
  • Identify scheduling conflicts, bandwidth constraints, and over/underutilization trends
  • Partner with managers and leaders to reallocate work and maintain balanced workloads
  • Provide recommendations to improve staffing alignment and overall efficiency
  • Serve as a central point of coordination between tax operations and engagement teams

Reporting & Data Management
  • Support preparation of resource planning reports, dashboards, and utilization metrics
  • Ensure data integrity across systems to support decision-making and forecasting
  • Assist leadership with insights related to capacity planning and resource needs
Onboarding & Team Integration
  • Support scheduling and resource alignment for new hires, interns, and acquired team members
  • Assist with onboarding transitions to ensure a smooth integration into team workflows

Requirements/Qualifications:
  • Associate or bachelor's degree in business, administration, accounting, or a related field preferred.
  • 1-3 years of experience in an administrative, operations, or coordination role
  • Experience in a tax, accounting, or professional services environment preferred
  • Experience supporting scheduling, resource management, or project coordination is a plus
  • Strong organizational and time management skills with the ability to prioritize effectively
  • High level of attention to detail and commitment to accuracy
  • Analytical mindset with the ability to identify trends and solve problems proactively
  • Clear and professional communication skills, with the ability to work across all levels of the organization
  • Comfort working with data, systems, and evolving processes in a dynamic environment
  • Proficiency in Microsoft Office (Excel, Outlook, Teams); experience with scheduling or workforce planning tools is a plus
