POSITION OVERVIEW:
Startec Compression and Process is currently recruiting a Production Administrator to work at our Shepard Shop Office location (9423 Shepard Road SE, Calgary, AB). The Production Administrator serves as the primary contact between our shop floor and corporate support teams, ensuring effective communication, coordination, and administrative support across operations.
As the Production Administrator, you will work with Production, Operations, HR, Payroll, and Supply Chain to support scheduling, estimating, and onboarding, helping keep daily operations on track. If you thrive in a fast-paced environment and have strong organizational skills, we would love to hear from you.
 
KEY PERFORMANCE INDICATORS (KPI):
PRODUCTION ADMINISTRATION (Weighting 40%)Production Administration
  • Act as the main point of contact between shop floor personnel and corporate support team
  • Produce and distribute daily/weekly production reports
  • Coordinate meeting requests and maintain shop vacation calendars
  • Organizing catering and logistics for team meetings or events
  • Provide general administrative support to Operations and Production teams
  • Manage and maintain office supply inventory
  • Maintain office equipment including printers, copiers, and related supplies
  • Process employee expense reports in a timely and accurate manner
  • Maintain accurate and organized records in accordance with company requirements
PAYROLL & HR SUPPORT (Weighting 30%)Payroll Support
  • Provide backup support for timesheet data entry, payroll reporting, and tracking employee hours
  • Support employees with payroll inquiries when needed
HR Onboarding Support
  • Assist with onboarding activities including:
    • Processing new hire documentation and sending to HR/Payroll team
    • Entering employees into the TotalPass600 system
    • Assigning employee timecards
  • Support HR administration with employee record maintenance
  • Assist with maintaining confidential personnel and payroll documentation
PRODUCTION PLANNING & ESTIMATING SUPPORT (Weighting 30%)Estimating Support
  • Assist with preparing simple labor and material cost estimates
  • Maintain material pricing and estimating spreadsheets
  • Gather production data and historical costing to supporting estimating activities
  • Provide administrative estimating support to operations and production as needed
Production Planning
  • Support the Production Scheduler with daily scheduling priorities and workflow coordination
  • Assist with resource planning and scheduling updates as needed
  • Coordinating with procurement to align material delivery with production schedules
  • Tracking production milestones and deadlines
QUALIFICATIONS:
  • Post-secondary education in Business Administration, Office Administration, or a related field is preferred
  • 2–5 years of experience in an administrative role, ideally within a manufacturing, fabrication, or industrial environment
  • Strong organizational skills with the ability to multitask and adapt as priorities change
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint, Visio)
  • Experience with an ERP system, Navision or Microsoft Dynamics, is an asset
  • Background in production scheduling and estimating in considered an asset
