Job description

Baldwin & Shell Construction Company is searching for an Accounting Specialist to join our team.

The Accounting Specialist plays a critical role for the Company.  The Accounting Specialist reports to the Accounting Manager.  The Accounting Specialist is responsible for assuring that the invoices, from our Vendors and Subcontractors/Trade Partners, match the expectation of our Employees purchasing services from them for our projects and business operations.  Many times, the Accounting Specialist has the last look at a cost before payment.

Responsibilities:

  • Reconciles and processes vendor invoices and subcontractor pay apps to ensure proper coding, approval, and payment.
    1. Reviews invoices/payment applications for accuracy.
    2. Enters supporting documentation into paperless system for Project Manager review and approval. 
    3. Once approved, completes data entry into ERP for posting and payment.
  • Prepare and process payments via check and ACH as needed under payment cycle with instruction from Accounting Manager
  • Assist with maintaining current vehicle list including vehicle registration and licensing
  • Maintain paperless filing system for all job cost support, including monthly process of reconciling paperless system to job cost ledger
  • Communicate with vendors and subcontractors regarding payment status, including reconciling vendor statements received that indicate billing discrepancies or issues
  • Contribute to environment of teamwork by performing duties of other Accounting Specialist(s) in event of absence or pressing deadlines, etc.  Including but not limited to employee reimbursements, per diem payments, credit card reconciliations, etc.
  • Assist with other special projects and tasks as identified by the Senior Accounting Specialist, Accounting Manager, or Controller


Minimum Qualifications:

  • Associate degree and at least four years of experience or High school diploma, or equivalent, and at least eight years of experience.
  • Proficient in Microsoft Outlook, Excel, and Word.
  • Strong interpersonal, written, and verbal communications skills.
  • Must be self-driven, motivated and possess the ability to work effectively and independently.
  • Must possess strong organizational and time management skills and the ability to perform under pressure.

Preferred Qualifications:

  • Proficient in Viewpoint, Docuware, and various web-based software for vendors.
  • Experience in the construction industry or experience working with general contractors or specialty trade partners.
