Shared Services Associate information

What is a shared services associate?

Shared Services Associates are professionals who support various administrative and operational functions within an organization’s shared services center. They typically handle tasks such as payroll processing, accounts payable and receivable, HR support, data management, and customer service. Their role is to streamline processes, improve efficiency, and ensure consistent service delivery across multiple departments. Shared Services Associates often work with different teams to resolve issues and maintain high standards in service quality.

What are the typical responsibilities of a shared services associate?

Shared Services Associates are responsible for handling administrative and transactional tasks such as processing invoices, managing data entry, and supporting HR or finance functions across departments. They play a key role in streamlining processes, ensuring consistency, and reducing duplication of effort within the organization. By providing centralized support, they enable other teams to focus on strategic activities and improve overall operational efficiency. Shared Services Associates often collaborate closely with various departments, which offers valuable exposure and opportunities to learn about different business functions.

What are the key skills and qualifications needed to thrive as a shared services associate?

Strong organizational skills, problem-solving abilities, and effective communication help you manage high-volume tasks and collaborate across departments. Job description

Staples is business to business. You're what binds us together.

Our finance team partners across the business provide insight, support, and financial expertise that help Staples deliver results.

As a Finance Shared Services Trainer, you'll play a key role in helping Order to Cash teams build the knowledge, confidence, and consistency they need to do their best work. In this role, you'll create engaging learning experiences, support process excellence, and make a meaningful impact on team performance, compliance, and customer support.

  What you will be doing:

  • Design, implement, and facilitate training programs that help Finance Shared Services teams understand processes, systems, and best practices with confidence.
  • Create practical training materials such as manuals, e-learning modules, job aids, and process documentation that help teams apply learning quickly and consistently.
  • Lead in-person workshops, virtual webinars, and on-the-job coaching that make learning approachable and relevant for Finance Shared Services team members.
  • Partner with FSS leadership and key stakeholders to understand training needs, identify skill gaps, and connect learning programs to business priorities.
  • Monitor training effectiveness and knowledge retention through assessments, feedback, and performance evaluations.
  • Provide ongoing coaching and support that helps associates follow processes, stay compliant, and continuously improve how work gets done.
  • Collaborate with IT, finance, and other cross-functional partners to ensure training reflects current systems, policies, regulations, and business changes.
  • Support process improvement efforts by helping identify training gaps, develop standard operating procedures, and maintain training records for audit and compliance needs.

What You Bring to the Table:

  • You're a confident facilitator and presenter who can engage different audiences and turn complex processes into clear, practical learning experiences.
  • You communicate clearly in writing and verbally, and you enjoy creating documentation and training resources that make work easier for others.
  • You're detail-oriented, analytical, and curious about what helps people learn, retain knowledge, and improve performance.
  • You're comfortable managing multiple training initiatives, working independently, and adapting as systems, policies, and business priorities change.
  • You build strong working relationships across finance, IT, leadership, and vendor partners, and you bring organization and collaboration to every project.

What's needed: Basic Qualifications:

  • Bachelor's degree in Finance, Accounting, Business Administration, Human Resources, Education, or relevant work experience.

  • Strong communication, organization, analytical thinking, problem-solving, and attention to detail.

Preferred Qualifications:

  • Experience in learning and development role within a finance, accounts receivable, or shared services environment.
  • Experience with e-learning platforms, virtual training tools, and blended learning approaches.
  • Knowledge of financial regulations and compliance requirements related to accounts receivable.

What We Offer:

  • Flexible PTO, including 22 days off plus 7 observed paid holidays
  • An inclusive culture supported by associate-led Business Resource Groups
  • Online and retail discounts, company match 401(k), physical and mental health wellness programs, and more!
