Job description

Title: Contract Administrator / Service Contracts Specialist

Location: 250 S. Kraemer Blvd, Brea, California, 92821
Schedule: Ability to work a set 9-hour shift anytime between 5:00 AM - 7:00 PM

Pay Rate: $25/hr on w2

Contract Duration: 09+ months


Job Summary

Responsible for managing all aspects of the company's service contract functions. Prepares proposals, negotiates contracts, and ensures the company fulfills all obligations and conditions of contracts sold. Reviews, administers, and tracks service contract proposals and renewals. Explains service terms to customers and answers questions about contracts.

Processes invoices, credits, and service contracts within Radiometer systems. Secures necessary approvals and ensures standard contract terms are followed. Escalates customer service contract issues to management as needed. May participate in customer issue reviews, recommend modifications to services or contract terms, and assist with contract negotiations.

Knowledge of Microsoft Dynamics, Microsoft Office, and Adobe is a plus. French-speaking candidates are preferred but not required.


Key Responsibilities

  • Process all POC IT annual service agreements, ensuring timely invoicing.
  • Verify pricing against purchase orders and match purchase orders to invoices.
  • Enter contract information into ERP systems.
  • File and maintain all contract and invoice documentation.
  • Assist with monthly invoice processing to help achieve revenue targets.
  • Build and maintain positive customer relationships by proactively communicating upcoming agreement renewals and invoicing accordingly.
  • Use CRM systems to retrieve customer information, installed base data, work order updates, and make required updates.
  • Collaborate with Sales and POC IT teams to drive revenue growth by collecting purchase orders and identifying revenue-generating opportunities.
  • Renew POC IT service contracts and invoice customers as required.
  • Assist with transferring billable calls for timely customer invoicing.
  • Identify opportunities to combine open work and maximize efficiency for the POC IT Solutions and Technical Support teams.
  • Ensure compliance requirements are followed at all times.


Required Qualifications

Education

  • Associate Degree with 2+ years of relevant experience OR
  • Bachelor's Degree OR
  • Experience in billing, invoicing, and contract audits.
