Position Overview

Chartis Federal is seeking a Senior Travel Coordinator to provide travel planning, coordination, and administrative support to the Customer's Strategic Planning Office (SPO). The Senior Travel Coordinator will coordinate domestic and international travel requirements, support travel authorization and voucher processes, monitor travel-related budgets, and ensure compliance with applicable travel policies and procedures. This position serves as the primary travel coordination resource supporting leadership and staff travel requirements in a fast-paced operational environment.


Duties and Responsibilities

  • Coordinate domestic and international travel arrangements in support of Customer mission requirements. 
  • Prepare, review, and process travel authorizations, itineraries, and supporting documentation. 
  • Coordinate travel logistics, including transportation, lodging, conference registrations, and related travel requirements. 
  • Serve as a point of contact for travelers regarding travel procedures, requirements, and documentation. 
  • Monitor travel schedules and support adjustments to itineraries as operational requirements change. 
  • Track travel expenditures and maintain travel budget records. 
  • Support reconciliation of travel costs and documentation. 
  • Maintain travel records, supporting documentation, and reporting files. 
  • Prepare travel status reports and budget updates as requested. 
  • Coordinate with Government personnel and external organizations regarding travel-related requirements. 
  • Ensure compliance with applicable travel policies, procedures, and organizational requirements. 
  • Support administrative activities related to travel planning and execution. 
  • Ensure assigned products and deliverables are completed accurately and within established deadlines. 

Requirements

  •  Active Secret security clearance. 
  • High school diploma or equivalent. 
  • Minimum of six (6) years of relevant experience supporting travel coordination, travel administration, logistics coordination, or related operational support activities. 
  • Experience coordinating domestic and/or international travel arrangements. 
  • Experience maintaining travel records, itineraries, and supporting documentation. 
  • Experience supporting travel budget tracking or expense reconciliation activities. 
  • Strong organizational and time management skills. 
  • Excellent written and verbal communication skills. 
  • Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and Teams.

Preferred Qualifications

  • Experience supporting Department of Defense or federal government organizations. 
  • Experience using the Defense Travel System (DTS) or comparable government travel systems. 
  • Experience coordinating executive or senior leadership travel. 
  • Experience supporting international travel requirements. 
  • Familiarity with Joint Travel Regulations (JTR) or federal travel policies. 
  • Experience supporting high-volume travel operations.
