As a result, Professional Services are critical to the success of our customers' MDM programs. The Professional Services Senior Operations Analyst is the operational backbone of the PS organization and serves as "the right hand" of the SVP of Professional Services. This role exists to ensure the PS team can operate with precision, accountability, and data-driven confidence. You will own the operational infrastructure that keeps the business running: resource and billing integrity, financial partnership, reporting and analytics, and the systems and processes that enable consultants to focus on delivering exceptional client outcomes. The Senior Operations Analyst will be a partner to the SVP, translating raw data into actionable insight, enforcing billing discipline across a distributed consulting workforce, and building the reporting foundation that enables executive decision-making. If you are energized by bringing order to complexity, holding people accountable with professionalism, and building operational systems that scale a high-growth services business, this role is for you.

Your Performance Objectives - What You Will Accomplish

Objective #1:

Within your first month, learn the business:

  • Audit and map the current billing workflow end-to-end, identifying gaps between time logged, work delivered, and invoices issued.
  • Establish a weekly billing cadence in partnership with Finance, ensuring consultants and PS subcontract partners submit time accurately and on schedule.
  • Build accountability mechanisms that reduce billing errors and unbilled hours by a measurable percentage within the first quarter.
  • Serve as the primary liaison to Finance for all PS revenue recognition and billing inquiries, reducing escalations to the PS Leadership

Objective #2:

Within your first 3 months, align objectives and prepare plans for next steps:

  • Design and deliver a suite of recurring executive reports for PS Leadership covering PS resource utilization, backlog, revenue forecasting, margin, and active project health (delivery status)
  • Create a consultant-facing dashboard, so the team has real-time visibility into their own billing hours allocated, utilization, and project completion.
  • Establish data definitions and reporting standards so numbers from PS, Finance, and pending sales/services opportunities/deals tell a consistent story.
  • Identify the 3-5 KPIs that best predict PS revenue attainment and present a measurement framework to PS Leadership.

Objective #3:

Within your first 4 months, implement improvements and establish efficiencies from presented plan:

  • Own the PS operating calendar: PS Team quarterly reviews, capacity planning cycles, resource allocation/project assignments, and leadership team meeting prep.
  • Create alignment between Professional Services, Finance, Sales, and Customer Success - ensuring cross-functional commitments are tracked and delivered. (New Deal Handover, Project closing activities, Post implementation transition to CS and Support
  • Manage and maintain PS systems including Open Air, CRM data hygiene, and any project management platforms the team uses. (Dev Ops)
  • Proactively flag risks to revenue, utilization, or project delivery before they become executive-level problems.

Objective #4:

Within your first 9 months, begin taking professional services operations to the next level:

  • Prepare materials for board and executive reviews, ensuring PS Leadership delivers accurate results, crisp narratives, and well-reasoned recommendations.
  • Reduce the SVP's administrative burden by 30%+ by owning routine operations, follow-ups, and cross-functional coordination.
  • Build a quarterly business rhythm for the PS leadership team that connects operational metrics to strategic priorities.
  • Position PS operations as a competitive advantage by demonstrating that Profisee's services business runs with rigor and data fluency.

Your Key Responsibilities

Billing & Financial Operations

  • Own the end-to-end billing process for Professional Services, from time entry through invoice creation/approval.
  • Partner with Finance to ensure accurate and timely revenue recognition for PS engagements.
  • Drive consultant compliance with time-tracking policies and escalate non-compliance professionally and consistently.
  • Reconcile discrepancies between project actuals, billed amounts, and contracted scope.
  • Manage billing for T&M, milestone, and fixed-fee engagement models.
  • Monitor AR aging for PS and coordinate with Finance on collections as needed.

Reporting & Analytics

  • Develop, maintain, and continuously improve the PS reporting suite for PS Leadership and other departments.
  • Produce weekly, monthly, and quarterly reports covering utilization, backlog, revenue, margin, and PS resource productivity.
  • Build ad hoc analyses to support business decisions including pricing, capacity, and go-to-market changes.
  • Maintain data integrity across all PS systems; serve as the source of truth for PS operational data.
  • Translate service delivery data into clear, executive-ready narratives and visualizations.

Operations & Process Management

  • Design and implement scalable operational processes that grow with the PS team.
  • Own PS systems administration including Open Air, NetSuite, Salesforce project tracking platforms, and CRM data hygiene.
  • Manage resource allocation visibility: who is on what project, at what utilization, through what date.
  • Coordinate cross-functional workflows between PS, Finance, Sales, Legal, and Customer Success.
  • Identify process gaps that create billing errors, revenue leakage, or consultant friction - and close them.
  • Drives PS Delivery process (Status reports, project plan updates, deliverables, hand-over, documentation in Dev Ops/SharePoint.
  • Central Liaison for Customer Success team
  • Status Reporting Validation, Project milestone billing/triggering, closing activities validated for closed projects
  • DocuSign and Contract Administration (SOWs AND Change Orders)

Executive & Leadership Support

  • Prepare presentations, reports, and data packages for the PS Leadership for board reviews, executive team meetings, and PS/Sales QBRs.
  • Manage the PS operating calendar including team meetings, planning cycles, and milestone reviews.
  • Draft internal communications on behalf of the SVP as needed.
  • Track and follow up on action items from leadership meetings to ensure accountability and closure.
  • Serve as a trusted thought partner to the SVP on operational priorities and team effectiveness.
