Job description

Executive Assistant

Key Responsibilities

In this individual contributor role, you will provide dedicated executive support to the Senior Vice President (SVP) of Tech Transformation and Operations, delivering end-to-end executive support and project coordination for the SVP's organization.

This role requires an independent problem solver who is comfortable navigating and partnering with senior leaders across the organization, exercising sound judgment and discretion, and managing confidential information with confidence. The successful candidate will identify opportunities for process improvement, drive operational effectiveness, and support strategic priorities within a fast-paced global environment.

This role offers the opportunity to lead key activities and contribute to the success of the Tech Transformation and Operations organization. Responsibilities include:

  • Act as an independent problem solver, confidently navigating and partnering with senior leaders across the organization.

  • Provide dedicated, high-level executive administrative support to the SVP of Tech Transformation and Operations and the wider leadership team as required.

  • Lead and coordinate departmental and executive-level projects, ensuring timely delivery and stakeholder alignment.

  • Manage multiple priorities and competing deadlines while delivering high-quality results.

  • Proactively identify and implement process improvements to enhance team effectiveness.

  • Build and manage relationships with senior stakeholders, ensuring effective collaboration across functions.

  • Handle highly confidential information with discretion, sound judgment, and professionalism.

  • Arrange complex domestic and international business travel and provide proactive calendar management.

  • Utilize financial, procurement, and expense management systems to support operational activities, resolve issues, and ensure timely processing of requests.

  • Maintain office systems, records, and administrative processes, including contact and distribution lists.

  • Provide occasional support for meetings, conferences, and events, including venue coordination and liaison with technology, facilities, catering, security, and other service providers as needed. This is a minor component of the role and not a primary responsibility.

Basic Qualifications

  • Associate degree or equivalent qualification.

  • Experience in roles requiring independent problem-solving and regular interaction with senior executives.

  • Experience handling sensitive or confidential information and applying sound judgment in a professional environment.

  • Experience arranging complex business travel and managing calendars for senior leaders.

  • Experience using financial, procurement, or expense management systems (e.g., Concur, SAP, Oracle, Workday, or equivalent).

  • Experience supporting senior leaders and effectively influencing stakeholders through strong communication, judgment, and business acumen.

Preferred Qualifications

  • Experience using SharePoint.

  • Advanced Excel skills.

  • Strong analytical skills.

  • Experience with budget tracking and strong organizational skills.

  • Ability to operate with pace and agility, using evidence and judgment to balance speed, rigor, and risk.

  • Flexible working style with the ability to support stakeholders across multiple time zones.

  • Demonstrated commitment to delivering high-quality results, overcoming challenges, and maintaining a strong focus on execution.
