Job Overview

The Inventory Control Specialist is responsible for maintaining inventory accuracy and supporting the day-to-day inventory and purchasing functions of the branch. This position ensures inventory records remain accurate through cycle counts, inventory adjustments, purchase order processing, receiving activities, and inventory planning. The Inventory Control Specialist works closely with operations, parts, purchasing, and accounting teams to maintain efficient inventory practices that support customer service and operational performance.

In addition to core inventory responsibilities, this role provides administrative support across branch operations as business needs require.

Core Responsibilities

Inventory Management

  • Maintain accurate inventory records through routine cycle counts and physical inventory verification.
  • Investigate and resolve inventory discrepancies promptly.
  • Process inventory adjustments in accordance with company procedures.
  • Monitor inventory accuracy and recommend corrective actions to improve inventory integrity.
  • Assist with inventory planning to maintain appropriate stock levels while minimizing excess inventory.
  • Coordinate inventory transfers between locations when necessary.

Purchasing & Receiving

  • Create and process purchase orders within Microsoft Dynamics.
  • Receive purchase orders accurately and timely into the inventory management system.
  • Verify quantities, pricing, and product information against purchase orders and packing slips.
  • Coordinate with vendors to resolve shipment discrepancies, shortages, or damaged goods.
  • Maintain purchasing documentation and supporting records.

Inventory Planning & Analysis

  • Monitor inventory usage and replenishment needs.
  • Assist with forecasting inventory requirements based on historical demand and operational needs.
  • Generate inventory reports and communicate inventory concerns to management.
  • Support annual physical inventory counts and audits.

Administrative Support

  • Maintain accurate inventory documentation and filing systems.
  • Assist with operational reporting and data entry.
  • Provide cross-functional support to other administrative and operational departments as needed.
  • Perform additional duties assigned to support branch operations
