Job Title: Corporate Events Specialist

General Function:
The Corporate Events Specialist leads the planning, development, and execution of corporate events on behalf of the Hy-Vee corporate office. This position oversees the corporate event calendar, manages complex projects across departments, selects and negotiates with vendors, and ensures high-quality delivery of all internal events, department functions, and company-wide awards programs. The role provides guidance to support staff and collaborates closely with senior leadership to advance event strategy aligned with company objectives.
Reporting Relationships:
Accountable and Reports to: Assistant Vice President, Special Events
Direct Reports: None
Primary Responsibilities:
  • Lead planning, logistics development, and execution for corporate events, conferences, and company-wide award programs.
  • Develop and manage the annual corporate events calendar, ensuring alignment with budgetary guidelines and organizational priorities.
  • Oversee vendor research, venue evaluation, and assist with contract negotiation.
  • Manage and enhance the retirement program, including celebration planning, communication, and gift coordination.
  • Direct scheduling, planning, and implementation of complex event timelines with cross-functional stakeholders.
  • Monitor event-related expenses; produce event reports and financial summaries.
  • Identify process improvements and create standardized event procedures and tools.
  • Supervise event staff as assigned, providing coaching and task direction.
  • Represent the department in leadership meetings and provide subject-matter expertise on event operations.

Education and Experience:
  • Bachelor's degree in marketing, communications, hospitality management, or related field preferred; equivalent combination of education and experience considered.
  • Three to five years of related event planning or project management experience required; corporate or large-scale event experience preferred.
  • Prior supervisory or project team lead experience strongly preferred.

Physical Requirements:
Must be physically able to perform medium work: occasionally lifting or carrying objects up to 50 pounds and frequent standing or walking.
Ability to perform physical activities related to event execution: stooping, kneeling, reaching, handling, grasping, talking, hearing, and repetitive motion.
Knowledge, Skills, Abilities and Worker Characteristics:
  • Excellent written and verbal communication skills required.

  • Strong project management skills with the ability to manage multiple complex events simultaneously.

Position requires managing multiple deadlines, high-impact events, and sometimes long or irregular hours.
