Summary:

The Senior Accounts Payable Specialist will work collaboratively with the Accounts Payable team and is within our Finance Department. This position is responsible for communicating with and responding to vendors in a professional manner. Working closely with the Project Management teams, the Senior AP Specialist will also work to identify the appropriate cost for jobs. This position is crucial to our organization and the success and timeliness of a project. The descriptions below are representative of, but not limited to, the expectations of this role.


Five Key Roles of the Senior Accounts Payable Specialist:

  • Reviewing the accuracy of invoice entries, following up and making corrections as needed prior to posting to the General Ledger.
  • Maintain all accounting ledgers by verifying and posting account transactions timely.
  • Tracking and documenting the status of invoices.
  • Verifying job summary details in ERP against contracts and change orders within project management software.
  • Working with Project Management Teams on identifying and administering job costing.


Essential Duties & Responsibilities:

  • Assisting AP Manager in facilitating the achievement of monthly Financial close deadlines.
  • Accurately coding, verifying, entering, and processing invoices for payment.
  • Reviewing vendor statements monthly, requesting missing invoices as needed.
  • Tracking and documenting the status of invoices.
  • Following up on invoice approvals.
  • Assisting in maintaining the electronic filing system.
  • Working collaboratively with other Finance personnel on special tasks and projects.
  • Communicating and upholding the Company's commitment to Integrity and Code of Ethics.
  • Other relevant tasks as assigned.


Education, Experience & Qualifications:

  • High School Diploma or GED required, associate's degree preferred.
  • 8 years of related accounting experience required.
  • Proficient in Microsoft Office, including Excel, Word and Outlook with the ability to learn new systems/software.


Travel:

Travel is not required for this position.


Work Environment:

As a Senior Accounts Payable Specialist, you will be subject to a traditional office setting. The employee must be comfortable with sitting for an extended period.
