The Office of Merit Scholarships, Fellowships & Awards has an outstanding opportunity for a Coordinator & Advisor to join their team.

About this Opportunity
The Office of Merit Scholarships, Fellowships & Awards (OMSFA) Coordinator & Advisor advances the work of our small but dedicated scholarship advising team through coordinating and managing communication and outreach efforts, supporting administrative elements of scholarship application and selection processes, as well as engaging in scholarship advising with undergraduate students.
The OMSFA Coordinator & Advisor will also take an active role in supporting the Mary Gates Endowment for Students (MGE) scholarship programs, advising applicants, offering application support and feedback sessions to assist students in developing competitive applications, managing websites and other communication tools to connect with undergraduate students, faculty and staff across campus; and helping to plan and facilitate MGE events and scholar engagement activities. This position will also take an active role in supporting the Martin Family Foundation scholarships processes, will serve as the primary advising contact for undergraduate students applying for UW nomination to the Udall Scholarship, and will support other national, international, and internal UW scholarship application and nomination processes.
Work is largely conducted in-person with limited remote work availability.
Key Responsibilities
Coordination and Management (60%)
  • Under the direction of leadership, coordinate and facilitate OMSFA programming, workshop and events.
  • Support MGE, Udall, Martin Family Foundation and other national, international, and other internal UW scholarship application and nomination processes for undergraduate students and alumni, including advertising, soliciting and coordinating faculty, staff and alumni review committee and interview volunteers. Occasionally serve on review/interview committees for scholarships.
  • Engage in outreach on behalf of OMSFA, create OMSFA outreach materials, represent OMSFA at campus events.
  • Provide critical insight into strategies for intentionally incorporating DEI values into OMSFA programming and processes.
  • Assist in the maintenance of scholarship databases and applications. Manage regular website updates, social media and listserv emails. Support data collection, management and evaluation to inform our work.
  • Assist with office administration, including scheduling meetings, tracking calendars, planning events, etc.

Advising (40%)
  • Serve as a primary advisor for students seeking general scholarship information through one-on-one appointments and group sessions/events.
  • Facilitate workshops, information sessions and other events to assist undergraduate students in developing skills and tools relevant to undergraduate scholarships and fellowships.
  • Serve as the primary scholarship advisor and contact for the Udall Scholarship, conducting outreach, hosting events and one-on-one advising to support students in applying, and coordinating with the Udall Foundation.

Required Qualifications

  • Bachelor's degree in any academic field.
  • Two years of experience in student support services, advising or program support.

Additional Qualifications
  • Excellent oral and written communication skills, including presentation and public speaking experience.
  • Strong problem-solving, management, and organizational skills.
  • Ability to take initiative and to work independently with minimal supervision.
  • Enjoy working with students and possess strong interpersonal skills, including an ability to communicate effectively across diverse cultural backgrounds and life experiences.
  • Team-oriented, collaborative approach and a desire to interact with colleagues across departmental units.
  • Well-organized, efficient, works well under deadlines, and is attentive to details.
  • Proficient with MS Word, Excel, and PowerPoint, social media, data management, and with website content management systems (e.g., WordPress or ProcessWire).

Preferred Qualifications
  • One year of experience in program coordination or management.
  • Experience in undergraduate research, leadership, international education, other forms of experiential learning or a related field.

Working Conditions
  • This position is located in the Center for Experiential Learning & Diversity, an office suite that includes other programs that engage undergraduates in learning experiences outside the classroom. Work is largely conducted in-person, with limited remote work availability.

  • Collaborates with faculty and staff to identify and support potential student scholars.
