Actual place of performance is to be determined by the Government; however, work is anticipated to be performed within the National Capital Region (NCR).

ARMADA is seeking a detail-oriented Security Assistant to support the Department of Health and Human Services (HHS), Program Support Center (PSC), Real Estate, Logistics, and Operations (RLO), Intake, Suitability, and Badging Services (ISBS). This position supports the Division of Child Services (DCS) by processing fingerprint checks, Child Abuse and Neglect (CA/N) checks, managing assigned caseloads, maintaining case documentation, coordinating with Care Providers and Child Protective Services (CPS), and updating multiple Government systems to support background investigations and child welfare programs.

Duties & Responsibilities:

  • Security Assistants will report weekly updates on workload to Team Leads.
  • For the DCS Program
    • Perform the fingerprint check process.
    • Perform the Child Abuse & Neglect (CA/N) check.
    • Perform Fieldprint updates.
    • Perform BWA mismatch updates.
  • Manage assigned caseload (which is separated by region and category for Office of Refugee Resettlement (ORR) Care Providers).
  • Security Assistants will review case documentation for completeness and correctness.
  • Work with Care Provider if any documentation is wrong or missing to obtain a complete case packet.
  • Use various databases and systems to find the fingerprint result and update the Care Provider with the results.
  • Security Assistants will manage assigned caseload (which is separated by region and category for ORR Care Providers). Review case documentation for completeness and correctness.
  • Work with Care Provider if any documentation is wrong or missing to obtain a complete case packet. Coordinate for states and territories that require original forms with wet signatures and notary stamp.
  • Security Assistants will use various databases and systems to request the childcare check from one of fifty plus (50+) U.S. States and Territories Child Protective Services registries. Work with Care Providers and Child Protective Services (CPS) to obtain the results from the registries. Coordinate requests that require a monetary fee for the result, which the Contractor provides and then is reimbursed monthly by PSC.
  • Track and follow up on caseload to ensure reception of results. Upon receipt of results, use various databases and systems to update the Care Provider with the results.
  • Security Assistants will apply knowledge of and expertise with Adobe, use of fingerprint result databases, case processing databases, SharePoint, childcare check results, Government document review, and shipping documentation.
  • Security Assistants will receive a zipped folder each morning of spreadsheets containing fingerprint updates and manually enter them in case processing databases, as well as Care Provider specific spreadsheets needed to be emailed to ORR Care Providers and ORR Federal Field Specialists.
  • Review Excel spreadsheet each morning containing fingerprint updates and manually enter them in case processing databases.
  • Apply experience of and knowledge with the following tools to perform the updates: Microsoft Office Suite, Adobe, fingerprint result databases, and case processing databases.
  • Security Assistants will apply knowledge of and expertise with Adobe, fingerprint result databases, and knowledge of fingerprint check results.
  • Security Assistants will process one hundred sixty (160) or more Fingerprint Check cases monthly utilizing program systems and applications to provide the details to DCS customers within two (2) business days of receipt.
  • Security Assistants will process one thousand seven hundred (1,700) or more Child Abuse and Neglect cases monthly utilizing program systems and applications to provide the details to DCS customers within two (2) business days of receipt.
  • Security Assistants will review and provide two hundred fifty-four (254) Care Provider-specific bulk fingerprint results the same business day received.
  • Other duties as assigned.

Knowledge, Skills and Abilities (KSAs):

  • Ability to work effectively with Government leadership, technical personnel, and contractor staff.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong attention to detail with the ability to accurately process high volumes of work.
  • Proficiency with Microsoft Office applications.

Minimum Education/Experience:

  • Bachelor's Degree preferred, not required.
  • Five (5) years of relevant experience managing programs and/or projects

Preferred Experience:

  • Experience supporting personnel security, background investigations, or child welfare programs.
  • Experience processing fingerprint checks, Child Abuse and Neglect (CA/N) checks, or similar investigative processes.
  • Experience managing case files and maintaining accurate records in electronic databases.
  • Experience working with Child Protective Services (CPS), Office of Refugee Resettlement (ORR), or similar federal or state programs.
  • Experience reviewing documentation for accuracy and completeness.
  • Experience working with Adobe Acrobat, Microsoft Office Suite, SharePoint, and case management systems.
  • Experience handling Personally Identifiable Information (PII) and other sensitive information.
  • Strong organizational, analytical, and customer service skills.
  • Ability to manage multiple caseloads while meeting established performance metrics.
  • Experience working in a federal government or government contractor environment.
