JOB DESCRIPTION

A midโ€‘sized law firm is seeking an experienced Legal Secretary to provide highโ€‘level administrative and document support to a team of attorneys. This fullโ€‘time position offers a hybrid work arrangement following the initial training period.


Position Overview:ย 

The Legal Secretary will handle a wide range of administrative, organizational, and documentโ€‘production responsibilities. The role requires strong attention to detail, excellent communication skills, and the ability to manage multiple priorities in a fastโ€‘paced environment. The ideal candidate is proactive, adaptable, and comfortable supporting attorneys with varied practice needs.


Responsibilities:

  • Prepare, revise, and finalize legal documents, correspondence, and supporting materials.
  • Maintain attorney calendars, including meetings, deadlines, and project timelines.
  • Assist with assembling materials for meetings, hearings, and client presentations.
  • Organize and maintain electronic and physical files using the firmโ€™s document management tools.
  • Track deadlines and ensure timely completion of required filings or submissions.
  • Communicate professionally with clients, internal staff, and external contacts.
  • Coordinate billing information, timekeeping entries, and related administrative tasks.
  • Provide occasional support for litigationโ€‘related activities, such as formatting pleadings or organizing case materials.
  • Handle confidential information with discretion and professionalism.
  • Perform additional administrative duties as needed to support the attorneys and office operations.


Qualifications:

  • High school diploma required; additional education or legal coursework preferred.
  • Extensive experience (typically 7+ years) as a legal secretary or legal administrative professional.
  • Background supporting attorneys in any civil practice area is highly valued.
  • Strong writing, proofreading, and communication skills.
  • Ability to manage competing deadlines and maintain organization in a busy environment.
  • Demonstrated ability to work independently while also collaborating effectively with a team.
