The Operations Support Specialist provides administrative and operational support to the property management team, helping ensure the portfolio runs smoothly through accurate data entry, document management, reporting, and cross-department coordination, with an emphasis on AI content platforms. This role serves as a central point of contact for internal teams, residents, and vendors, supporting communication and follow-through on operational tasks, compliance deadlines, and maintenance workflows.

Essential Functions

This multifaceted role has responsibilities that may shift based on portfolio and company needs. The Vice President of Property Operations will meet weekly with the Operations Support Specialist to determine current priorities among the following job functions.

  • Maintain strong knowledge of operational policies and procedures to support training, process improvements, and SOP development.
  • Support new processes and software implementations affecting the Property Management Department; help manage vendor relationships and contracts, test and review documented processes, provide feedback for training materials, and promptly notify the Learning and Development team of process changes.
  • Apply site-level operational expertise to remotely support assigned sites or regions.
  • Ensure proper documentation and adherence to regulatory requirements; maintain up-to-date records of tenant communications, property activities, and compliance requirements.
  • Identify opportunities by analyzing feedback and sentiment, sharing insights, and supporting process improvements or training enhancements.
  • Track, compile, and communicate issues in technology platforms, including AI content platforms, Rent Cafe, and Yardi Voyager, to support system improvements. Participate in relevant internal and external meetings.
  • Attend and actively participate in training sessions and provide limited one-on-one support to team members who need additional assistance after initial training and coaching.
  • Serve as an ambassador for new processes and software implementations; participate in train-the-trainer sessions and provide limited one-on-one support to team members who need additional assistance after initial training and coaching.
  • Other duties as assigned.

Requirements

Required Education and Experience:

  • Associate degree or equivalent experience, plus 3-5 years of related experience or a proven track record in a similar role, such as leasing, Assistant Property Manager, or Property Manager. 
  • Experience with site-based affordable housing programs is strongly preferred, when applicable. 
  • A bachelor's degree in business management or property management is a plus. 
  • Multilingual skills are strongly preferred. 
  • Strong computer skills are required, including Microsoft Office, Outlook, property management software, and AI content platforms. 
  • Successful completion of a background check and drug screening required.
  • Valid Driver's License and clean driving record required.
