This role requires exceptional attention to detail, strong communication skills, and the ability to confidently manage competing priorities while supporting clinic staffing needs across the country.
About the Role
The Scheduling Supervisor plays a critical role in supporting the day-to-day coordination of Traveling Medical Providers and Traveling Clinic Managers across Milan's nationwide clinic network. This role is responsible for ensuring travel assignments align with business needs, geographical considerations, and state licensing requirements while helping maintain seamless clinic operations.
From schedule coordination and staff support to cross-functional collaboration and process improvement, you'll help drive operational efficiency, maintain accurate scheduling systems, and support a positive experience for traveling employees and clinic teams alike.

What You'll Do
  • Scheduling Coordination & Operations
    • Coordinate schedules for Traveling Medical Providers and Clinic Managers based on business and staffing needs
    • Create, maintain, and distribute traveler schedules accurately and efficiently
    • Monitor schedules daily and make real-time adjustments to accommodate changes, cancellations, or unexpected events
  • Team Leadership & Staff Support
    • Assist with onboarding and training new scheduling team members
    • Provide constructive feedback and support team development
    • Process PTO, sick time, floating holidays, and time-off requests in accordance with company guidelines
  • Communication & Collaboration
    • Maintain open communication with traveling employees regarding assignments, scheduling updates, and shift details
    • Partner cross-functionally with internal teams to ensure staffing requests are fulfilled efficiently
    • Escalate complex scheduling or operational concerns to leadership as appropriate
  • Compliance & Documentation
    • Ensure scheduling practices align with company policies and applicable state and federal regulations
    • Maintain accurate scheduling records, communications, and documentation for reporting and auditing purposes
    • Support process improvements and identify opportunities to enhance scheduling efficiencies and workflows

What We're Looking For
  • 1-2+ years of experience in scheduling, staffing coordination, or a related role
  • Strong organizational and time-management skills with the ability to manage multiple priorities simultaneously
  • Excellent written and verbal communication skills
  • Strong attention to detail and accuracy
  • Ability to navigate challenging conversations and manage conflict professionally
  • Adaptability and flexibility in response to changing priorities
  • Proficiency in Google Suite, Smartsheets, and scheduling software/tools, preferred
  • Flexibility to support evenings, weekends, and on-call responsibilities as needed
