Hillcrest Health & Living is looking for a highly organized, detail-oriented Scheduling Assistant to support staffing operations at Hillcrest Country Estates in Papillion, NE.
Hillcrest Country Estates is a vibrant senior living campus offering multiple levels of care in one beautiful location, including independent living, assisted living, memory support, skilled nursing, and rehabilitation services. Our teams work together to help residents receive the right support at the right time while creating a warm, connected environment that feels like home.

What You'll Do
As the Scheduling Assistant, you will help maintain accurate staffing schedules and support daily staffing needs across the community. This role is an important connection point between team members, leadership, and resident care operations.
You will:
  • Create and maintain team member schedules to support appropriate staffing levels.
  • Communicate schedule updates, staffing needs, and coverage changes clearly and timely.
  • Assist with call-ins, open shifts, shift coverage, and last-minute scheduling adjustments.
  • Partner with leadership to anticipate staffing gaps and support proactive coverage plans.
  • Maintain accurate scheduling records and ensure information is entered correctly in staffing systems.
  • Provide administrative support to leadership as needed.
  • Assist with onboarding and orientation of new team members.
  • Support a positive, professional experience for team members while helping keep daily operations running smoothly.
  • Build strong working relationships with leaders, clinical team members, and support staff.

Ideal candidates will have:
  • Previous scheduling or staffing experience in skilled nursing, long-term care, senior living, healthcare, or a similar setting preferred.
  • Experience with healthcare staffing systems, scheduling software, payroll systems, or administrative support preferred.
  • Strong organizational skills and attention to detail.
  • Ability to prioritize, adapt, and remain calm when schedules change.
  • Clear, professional communication skills.
  • A reliable, proactive, and team-oriented approach.
  • Certified Nursing Assistant experience or certification preferred.
  • Comfort using technology and office resources efficiently and effectively.

Education & Credentials
  • High school diploma or equivalent required.
  • Additional clerical, business office, healthcare, or administrative training preferred.
  • Certified Nursing Assistant certification preferred.
