The OR Scheduling Coordinator Clinic schedules patient surgeries at various places. This includes obtaining accurate surgical orders from providers, completing necessary paperwork, coordinating schedules with hospitals and physicians, and informing patients of surgery dates and times.

Essential Functions of the Role:

  • Advise the patient on all important pre- and post-operative instructions, like food, fluid, and medication intake and restrictions before surgery. Confirm important health information, such as allergies and current medications, before giving instructions.
  • Schedules and obtains pre-op evaluations and surgical clearance documentation from requested physicians or surgeons prior to surgery date, per protocol.
  • Enter surgery appointments under the patient's appointment desktop. Ensure all insurance information is loaded accurately, attached to the visit, and verified. Attach authorization information to the appointment.
  • Document phone calls to patients about surgery scheduling. Scan all scheduling documentation through media manager. Schedule important appointments with attached authorizations.
  • Performs precertification and verification of surgical benefits with insurance companies.
  • Maintains and monitors surgical block time to keep utilization high. Advises surgeons of unused time and releases it to prevent loss. Adjusts schedules to use time from cancellations and accommodate emergency procedures.

Key Success Factors:

  • Previous experience in health care revenue cycle preferred.
  • Good listening and communication skills with professional and respectful telephone etiquette.
  • Able to operate basic office equipment (e.g., computer, fax, copier, scanner, and telephone).
  • Able to multi-task.
  • Able to maintain confidentiality.
  • Excellent data entry, numeric, typing and computer navigation skills.
  • Able to demonstrate precision and flexibility.
