Job description

Position Summary

The Scheduling Manager is responsible for providing company-wide scheduling leadership, support, and oversight across all active construction projects. This position will work closely with Preconstruction, Project Managers, Superintendents, and project teams to develop, maintain, and manage accurate project schedules from preconstruction through project completion.

The Scheduling Manager will establish consistent scheduling practices across the organization, assist project teams with baseline schedules, schedule updates, forecasting, and three-week look-ahead planning, and help identify potential schedule risks before they impact project performance.

This position will serve as a key resource to the project teams while providing leadership with accurate and meaningful information regarding project progress, milestones, schedule performance, and potential delays.

Key Responsibilities

Pre-construction & Baseline Scheduling

  • Work closely with the Preconstruction team to develop preliminary project schedules during the estimating and preconstruction phases.
  • Assist in developing project schedules that align with contractual requirements, project milestones, procurement requirements, and the overall project execution strategy.
  • Partner with Project Managers and Superintendents to develop detailed baseline schedules following project award.
  • Establish consistent scheduling standards, templates, calendars, coding structures, and scheduling procedures across the company.
  • Review baseline schedules for logic, sequencing, durations, milestones, procurement activities, and overall constructability.
  • Assist project teams in identifying critical path activities and key schedule milestones.

Project Scheduling & Forecasting

  • Work directly with Project Managers and Superintendents to maintain accurate and current project schedules.
  • Support project teams with regular schedule updates and progress tracking.
  • Assist teams in developing realistic forecasts for project completion and major milestones.
  • Identify schedule variances and trends and work with project teams to develop recovery strategies when necessary.
  • Monitor critical path activities and proactively identify potential schedule impacts.
  • Analyze schedule performance and communicate risks, opportunities, and areas requiring attention to project leadership.
  • Help ensure project schedules accurately reflect current field conditions and project expectations.

Project Team Collaboration

  • Serve as a scheduling resource and partner to Project Managers, Superintendents, and project teams.
  • Attend project planning and scheduling meetings as needed.
  • Facilitate schedule reviews with project teams and help translate schedule data into actionable information.
  • Work collaboratively with project teams rather than operating as a separate scheduling function.
  • Provide training and coaching to PMs, Superintendents, and other team members on scheduling best practices.
  • Promote a culture of proactive planning, accountability, and schedule ownership throughout the organization.

Company-Wide Scheduling Management

  • Maintain visibility into the overall schedule performance of the company's active project portfolio.
  • Develop and maintain company-wide scheduling reports and dashboards for executive leadership.
  • Identify common scheduling trends, recurring issues, and potential resource constraints across projects.
  • Assist leadership in understanding upcoming workload, major milestones, and potential project bottlenecks.
  • Standardize scheduling processes and best practices across the organization.
  • Develop and maintain scheduling procedures, guidelines, and training materials.
  • Help establish measurable scheduling KPIs and performance standards.

Schedule Risk & Recovery

  • Identify projects or activities trending behind schedule.
  • Work with project teams to understand the root causes of schedule delays.
  • Assist in developing recovery schedules and mitigation plans.
  • Evaluate potential impacts of changes, delays, procurement issues, and other project events.
  • Provide schedule analysis and documentation to support project management and, when necessary, potential claims or time-extension requests.
  • Escalate significant schedule risks to appropriate leadership in a timely manner.

Qualifications

  • 5+ years of construction scheduling experience, preferably with a commercial general contractor.
  • Experience working with complex construction projects.
  • Strong understanding of construction sequencing, subcontractor coordination, procurement, and field operations.
  • Strong understanding of critical path methodology and schedule development.
  • Experience developing and maintaining baseline schedules, schedule updates, forecasts, and look-ahead schedules.
  • Proficiency with construction scheduling software such as Primavera P6, Microsoft Project, or similar platforms.
  • Strong Excel and data analysis skills.
  • Ability to read and understand construction drawings, specifications, scopes of work, and project schedules.
  • Excellent communication and interpersonal skills.
  • Ability to work effectively with both field and office personnel.
