If yes, Lakemary is looking for an Scheduling Assistant for our Adult's Residential Service Program. This is structured administrative support work of average difficulty and complexity. Work requires the operation of personal computers, communications systems and other office equipment; may require communication with the public. This role functions under general supervision of a Coordinator of Residential Services. 

Residential Scheduling Assistant Responsibilities:

  • Maintain the electronic master schedule
  • Plan schedules ahead by identifying busy periods and aligning staffing levels to ensure an evenly distributed workload and avoid reactive overtime due to unplanned gaps.
  • Utilize creative scheduling to mitigate overtime
  • Supply monthly availability calendars to residentials sites
  • Prioritize PRNs hours and availability to minimize overtime
  • Monitor Paycom daily for shift requests, open shifts, and PTO requests.
  • Find coverage for any daily call ins and unexpected schedule changes
  • Coordinate coverage for hospital stays or in home support
  • Complete weekly reports and provide to the Residential Coordinator
  • Monitor requests/usage and communicate concerns
  • Monitor the schedules daily to find efficiencies with staffing patterns
  • Maintain a roster of staff trained per environment

    • Learn departmental operating procedures

    • Use basic math to add, subtract, multiply and divide

    • Communicate clearly and concisely, both verbally and in writing
    • Extract data and formulate reasonable conclusions from a variety of sources

Residential Scheduling Assistant Qualifications:

  • High School Diploma/GED or equivalent
  • Six months of experience in general office, clerical or administrative support work.
  • Preferred hands on experience supporting individuals with special needs.
  • Due to Insurance criteria be at least 21+ years of age
  • Acceptable Motor Vehicle Report (MVR) to meet standard driving requirements

Other Job Details:

  • Day hours: Monday through Friday 8am-4:30pm
  • Starting pay: $ 18.50 /hour
