Job Description

We are seeking aย Scanning Operatorย to join our operations team on the 1st shift. The ideal candidate will have experience inย mailroom operations, document preparation, and high-speed imagingย and a proven ability toย deliver accurate digital conversions and resolve mail and shipping issues.

Responsibilities:

Resolve customer issues and escalate as appropriate.

Conduct quality checks on work to ensure accuracy and compliance with standards.

Adhere to safety procedures and all logical and physical security requirements.

Work independently and as part of a team; perform backfile duties for absent coworkers.

Perform other duties as assigned by the Lead or Manager.

Mail/Shipping:

Receive, sort, and process mail, documents, packages, and supplies. Notify recipients as appropriate.

Deliver and pick up mail on scheduled runs.

Perform outgoing postal and courier duties using shipping and postal systems, selecting efficient and cost-effective methods.

Track, trace, and resolve mail or courier issues.

Operate, clean, and maintain shipping and mail equipment; contact third-party service providers when required.

Document Preparation:

Validate and reconcile boxes and files received.

Prepare a wide array of document types and conditions for scanning.

Remove staples, clips, rubber bands, and bindings to ready documents for scanning.

Use a handheld scanner to capture box barcodes.

Insert slip sheets at appropriate physical divisions to establish document separation.

Identify oversized documents for wide-format scanning and undersized documents requiring special handling.

Escalate exception items identified during production to the Lead.

Imaging:

Operate high-speed scanning equipment to convert paper documents to digital formats.

Perform visual quality inspections on each image to identify double feeds, folded corners that obscure content, improper light/dark thresholds, and unprocessed barcode slip sheets.

Convert documents, microfilm, and microfiche to digital formats as outlined in the Statement of Work.

Essential Functions:

Prepare customer documents for digital imaging.

Check physical documents for quality issues that may complicate scanning.

Index scanned images according to customer naming mechanisms and RDIC leadership guidance, and perform post-imaging services.

Perform other duties to meet business needs.

Required Skills & Qualifications:

Experience with mailroom operations, document preparation, and high-speed scanners.

Ability to identify and resolve imaging quality issues, including double feeds and threshold problems.

Proficiency with barcode and handheld scanners and basic shipping/postal systems.

Strong attention to detail, organization, and follow-through.

Ability to follow safety, security, and data handling procedures.

Preferred Skills:

Experience with microfilm and microfiche conversion workflows.

Prior work in production or service environments with defined SLAs.
