Job Title: Account Coordinator        

The Account Coordinator plays a vital role in client relationship management, responsible for various aspects of support that enhance the client experience. This role involves collaborating with Account Executives and Business Development to provide seamless service to clients by managing tasks such new product sample management,  internal order management, customer-supplied material management, finished goods shipping, and addressing production timing escalations. The Account Coordinator ensures efficient operations and client satisfaction, contributing to the overall success of the business.

Organizational Relationships

Reports to: Vice President of Commercialization

Responsibilities will include, but are not limited to:

  •  Product Sample Management: Oversee the process of managing new product samples, ensuring timely delivery to clients, and maintaining clear communication throughout the sample phase.
  • Customer Supplied Material Management: Liaise with customers to coordinate the delivery and receipt of customer-supplied materials, including tracking ETAs and packing slips. Create internal purchase orders as necessary.
  • Management of Sample Stock: Manage inventory and replenishment requests to ensure an adequate sample stock is available to the Sales Team.
  • Finished Goods Sample Shipping: Facilitate and manage the shipping of finished goods between the client and the internal shipping department, ensuring orders reach their destination on time and in excellent condition.
  • Order Processing: Process customer purchase orders and maintain accurate order information within internal systems. Review order details for completeness and accuracy, coordinate with the Account Executive regarding discrepancies or required changes, and support order revisions and updates as directed.
  • Open Order Report Management: Maintain and update open order reports, ensuring information is accurate and current. Monitor orders for potential delays, risks, or discrepancies, summarize key updates and issues, and communicate findings to the Account Executive for follow-up and customer communication as needed.
  • Collaborative Support: Assist Account Management and Business Development Teams in various support tasks to enhance client service and ensure seamless operations.
  • Administrative Support: Provide general administrative support as needed to contribute to overall departmental efficiency.
