Role Description

This is a full-time, on-site role for a Merchandising Sample Coordinator based in Miami, FL. The Sample Coordinator is responsible for managing and organizing production and client samples, maintaining accurate inventory records, and ensuring seamless sample flow across departments. This role requires strong organizational and communication skills, attention to detail, and collaboration with the Production team to support daily operations. The Coordinator will ensure all samples are properly tracked, documented, and available for production use, showroom display, and client presentations.


Duties

  • Manage the shipping and receiving of samples, ensuring proper handling, documentation, and accurate tracking in collaboration with the Production Coordinator.
  • Own the intake of all samples and follow established procedures for checking in, documenting, and organizing each item.
  • Provide real-time updates on sample status to the production team via the Production Status Report, including sourcing sample references and sending invoices.
  • Assist in quality control inspections for incoming samples and report discrepancies to the Development Coordinator, completing QC reports.
  • Maintain inventory of samples both onsite and offsite; ensure showroom stock levels are current and coordinate warehouse re-orders as needed.
  • Handle shipments via DHL, FedEx, and UPS; update the incoming/outgoing tracking board and share tracking details via Slack.
  • Pick up deliveries and mail, drop off packages when needed, and follow established sample intake procedures, including photography and QC documentation.
  • Steam, organize, and prepare samples for client and production meetings; create and attach sample cards as required.
  • Follow opening and closing procedures for the Miami showroom and assist with ordering materials in coordination with the Finance Team.
  • Provide updates on the daily internal team call regarding sample status and communicate any potential issues or delays.
  • Work collaboratively with the team to meet deadlines and promptly relay any sample issues within 24 hours of receipt.


Qualifications

  • Proven skills in Sample Management and Inventory Management.
  • Extremely detail-oriented with strong organizational skills.
  • Ability to lift and carry boxes weighing 20–25 lbs as part of regular job duties.
  • Experience in retail, merchandising, or warehouse operations.
  • Strong written and verbal communication skills.
  • Ability to work on-site in Miami, FL.
  • Prior experience in merchandising or a related field is a plus.
  • This is an entry-level position designed for candidates eager to develop their careers in production or merchandising.
  • Bachelor's or Associate’s degree in Fashion Merchandising, Business, or a related field preferred.
