Operations CoordinatorAbout the Opportunity

Are you a highly organized operations professional who thrives on building efficient systems, leading teams, and making organizations run seamlessly?

We are seeking an experienced Operations Coordinator to oversee the day-to-day operations of a rapidly growing organization supporting five Chambers of Commerce. This is a high-impact leadership position responsible for streamlining operations, coordinating major events, improving internal processes, and ensuring the organization is positioned for continued growth.

This is an operations-first role where you'll serve as a strategic partner to executive leadership by managing the day-to-day business so they can focus on growing membership, developing partnerships, and expanding the organization.

What You'll Do
  • Lead daily operations across five Chambers of Commerce, ensuring consistency, efficiency, and exceptional service.

  • Coordinate calendars, meetings, and organizational scheduling for leadership, staff, board members, and committees.

  • Plan, organize, and oversee Chamber events, networking functions, sponsorship events, ribbon cuttings, and community initiatives from concept through execution.

  • Manage event logistics including timelines, vendor coordination, venue communication, registrations, and post-event follow-up.

  • Develop and improve operational processes, workflows, and standard operating procedures that support organizational growth.

  • Identify operational inefficiencies and recommend technology or process improvements.

  • Work closely with an internal development team to enhance and optimize our proprietary CRM system.

  • Utilize platforms such as CRM software, Wix, and Eventbrite to support operations and event management.

  • Lead cross-functional initiatives including new Chamber launches, sponsorship programs, and community engagement campaigns.

  • Supervise, mentor, and support coordinators while managing vendor relationships and holding teams accountable to high standards.

  • Track organizational goals, project milestones, and key performance indicators, proactively identifying risks before they become issues.

  • Build and maintain strong relationships with members, sponsors, community partners, and business leaders.

  • Support executive leadership with strategic planning, reporting, and organizational initiatives.

  • Maintain accurate records, documentation, budgets, and operational reporting.

Qualifications
  • 5+ years of experience in Operations, Business Operations, Office Management, General Management, or a similar leadership role.

  • Proven experience improving operational processes and implementing scalable systems.

  • Experience coordinating meetings, schedules, projects, and large-scale events.

  • Strong organizational and project management skills with exceptional attention to detail.

  • Comfortable working with CRM platforms and learning new technology.

  • Experience collaborating with multiple departments and managing competing priorities.

  • Excellent communication and interpersonal skills with a relationship-focused approach.

  • Self-motivated with the ability to work independently in a remote environment.

  • Strong business judgment, problem-solving skills, and the ability to think strategically.

Preferred Qualifications
