Job description

The Marketing Coordinator contributes to the calling of Medical Teams International by providing day to day marketing coordination, and project support across multiple marketing functions. This role maintains efficient marketing operations by handling internal requests, supporting campaigns and events, coordinating vendors and orders, and assisting with digital and PR related marketing activities. The Marketing Coordinator supports efforts across marketing teams and channels, helping ensure initiatives are well organized, responsive, and aligned with established brand standards.

Medical Teams International holds strict child and vulnerable adult safeguarding principles and a zero-tolerance policy for misconduct related to sexual harassment, exploitation and abuse in the workplace and other places where the organization's activities are rendered. Parallel to technical competence, recruitment & selection, hiring decisions will give due emphasis to assessing candidates' eligibility, thorough background checks, police clearance, and professional reference check processes.
ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Serve as a first point of contact for internal marketing requests, helping intake, route, and track requests to ensure timely follow up and clear communication.
  • Manage ordering and fulfillment of marketing materials, including swag, printed materials, supplies, and promotional items, by coordinating with vendors and internal teams to ensure accuracy, inventory awareness, on time delivery, and basic budget tracking.
  • Support execution of the New Donor Welcome experience by coordinating timelines, maintaining mailing and digital content, managing production schedules with vendors and fulfillment partners, and collaborating with Donor Relations Volunteers.
  • Project management coordination, including maintaining project plans, task lists, timelines, and status updates in project management tools.
  • Support event marketing and logistics, including preparation of materials, timelines, on site support as needed, and post event follow up.
  • Monitor media coverage, track mentions, organize press materials, and assist with reporting in support of PR activities.
  • Coordinate content related tasks such as organizing creative assets, updating trackers, and supporting review workflows.
  • Maintain organized records, documentation, and shared folders to support team efficiency and knowledge sharing.
  • Support marketing reporting by gathering data, organizing input, and assisting with basic performance summaries.
  • Process and track invoices and expenses.
  • Collaborate with Program teams to support brand alignment and storytelling, helping to ensure accurate and respectful representation of program work.
  • Coordinate market and audience insight research activities by gathering and organizing inputs, tracking timelines, and maintaining documentation to support campaign planning.
  • Provide general support across marketing functions as needed, including advertising, direct response, sustainer marketing, storytelling, and other marketing projects or tasks assigned.
  • Manage the info@medicalteams.org account, ensure responses are timely and accurate, and train backup staff as needed.
  • Collaborate with internal stakeholders to support storytelling and the supporter experience across the full donor journey; helping to ensure Programs and brand/marketing assets are aligned, accurately represented, and rooted in our programmatic work.

Other Duties:
  • Support safeguarding of program participants and employees through promoting an environment of awareness and upholding the code of conduct provisions of Medical Teams Protection from Sexual Exploitation, Abuse & Harassment, Child & Vulnerable Adult protection, and harassment free workplace policies. Incumbents will remain alert and responsive to any child and adult safeguarding risks, acquire relevant knowledge and skills which will enable you to promote strong safeguarding practices, understand the child and adult safeguarding policy and procedures, and conduct yourself in a manner consistent with the Safeguarding code of conduct and behavior expectations.
  • Support accountability across all aspects of assigned work, including project and implementation support, data and analytics, budget support, market research support, and administrative support.
  • Utilize volunteers when appropriate.
  • Additional duties as assigned.

EDUCATION, LICENSES & CERTIFICATIONS
Required:
  • Bachelor's degree in marketing, communications, or related field. Relevant experience may be substituted for education on a year for year basis.

EXPERIENCE
Required:
  • Two years in a marketing, communications, administrative, or coordination role.

Preferred:
  • Non profit fundraising experience
  • Experience supporting marketing activities such as project coordination, event support, content organization, vendor coordination, or reporting

KNOWLEDGE, SKILLS & ABILITIES
Knowledge:
  • Working knowledge of marketing, branding, and donor communications, including campaign support, messaging guidelines, and content development
  • Familiarity with integrated marketing tactics across PR and media relations, advertising, events, and direct response channels

Skills:
  • Skilled at cross functional coordination with internal teams and external vendors
  • Excellent written and verbal communication skills with a commitment to professionalism in all interactions
  • Self starter with strong initiative and skilled at making day to day decisions
  • Skilled in organizing complex workflows and managing competing priorities
  • Proficient in Office 365 (Word, Excel, Outlook, and PowerPoint), and in collaboration and communication software (SharePoint and Microsoft Teams) Proficiency in Microsoft 365 software (Word, Excel, PowerPoint, Outlook), collaboration and communication tools (SharePoint, Microsoft Teams), and CRM (or other database programs)
  • Familiarity with project management software (e.g. Teamworks and Asana) and creative review tools (e.g. GoVisually)
